Her Nexx Chapter (HNC) is a 501(c)3 organization that provides an immersive virtual platform consisting of programs that connect, transform and nurture women through their journey in life by providing access to certified life coaches, mentors and subject matter experts.

This position will provide full administrative support to the production team. The Production Administrative Assistant must have excellent written/verbal skills, be a self‐motivator, be flexible, organized, and have attention to detail. Primary responsibilities will be performing all administrative functions necessary such as assisting with guest correspondence, booking production calendars, managing contact databases and production reminders.

Requirements:

  • Assist the production team in coordinating guest recording schedules, following up on key "to do" items, scheduling appointments, reviewing correspondence, and handling guest speaker’s questions
  • Work with team production calendar
  • Manage administrative document flow, including creating and maintaining files for items such as legal contracts, release forms, and speaker’s promotional items
  • Schedule and send out meeting invites and keep track of relevant notes for assigned speaker(s)
  • Perform other administrative and production support duties as assigned

Essential Skills & Requirements:

  • Experience as an administrative assistant or in a related field preferred
  • General knowledge of production workflows is helpful, but not required strong verbal and written communication skills, especially the ability to write in a clear, concise, professional manner
  • Proficient in Microsoft Word, Excel, Outlook, PowerPoint/Keynote, and Adobe Acrobat
  • Must be a flexible team player who thrives in a fast-paced environment where needs and priorities are subject to much revision
  • Exceptional organizational skills and attention to detail
  • Ability to handle multiple assignments and complete jobs under deadline
  • Demonstrated ability to problem-solve and communicate in a courteous and professional manner with diverse personalities and all levels of management while maintaining the highest standards of confidentiality
