ORGANIZATION: SHROOMATE

This is currently a virtual position but will require the member to be within driving distance of our location in Norristown.

Position Overview:
Shroomate is seeking an organized and detail-oriented Board Secretary to join our Board of Directors. As Secretary, you will be responsible for maintaining accurate records, facilitating communication within the board, and ensuring smooth governance processes. This is a critical role, central to Shroomate’s organizational structure, ensuring that all board operations are properly documented and that the board functions efficiently.

Key Responsibilities:

  • Serve as a Board Member, attending all board meetings and participating in decision-making
  • Record, prepare, and distribute accurate minutes of board meetings in a timely manner
  • Assist in preparing meeting agendas in collaboration with the Chair and other board members
  • Maintain all official board documents, including minutes, bylaws, and governance policies
  • Track and manage action items and ensure follow-up between meetings
  • Ensure compliance with legal requirements related to board governance and nonprofit record-keeping
  • Assist with the scheduling and organization of board meetings, special meetings, and board-related activities
  • Facilitate clear communication between board members and other key stakeholders
  • Support the Chair and other board members with administrative tasks to ensure smooth operations

Qualifications:

  • Minimum of 1 years of experience in an administrative, secretarial, or board support role (nonprofit experience is a plus)
  • Strong organizational skills with attention to detail and accuracy in document management
  • Excellent written and verbal communication skills
  • Ability to handle sensitive and confidential information with integrity
  • Experience using digital tools for document management and scheduling (e.g., Google Workspace, Microsoft Office, or similar)
  • Familiarity with nonprofit governance and compliance is desirable
  • Ability to collaborate effectively with a remote team
  • Passion for sustainability, environmental causes, or nonprofit work is highly appreciated

Commitment:
We ask for a minimum 1-year commitment to serve as the Secretary on the Board of Directors and oversee Shroomate’s board administration and governance.

To build a passionate and committed team, Shroomate is utilizing VolunteerMatch.org, a platform designed to connect nonprofits with individuals eager to contribute their skills and time. Through this platform, Shroomate aims to recruit dedicated volunteers who share its vision, helping to lay a strong foundation for the organization's future endeavors and community impact.
