Director of Operations

Director of Operations for ACMP SoCal is a volunteer role on the ACMP Socal Board of Directors. Commitment is for a 2-year term with an option to be reelected.

The Director of Operations oversees the daily operational functions of the ACMP chapter, ensuring efficiency and effectiveness in all processes. This role involves managing administrative tasks, supporting board activities, and leading operational initiatives to support the chapter’s mission and strategic goals

Specific Duties Include :

  • Recording and managing the minutes of all meetings of the Board of Directors and the membership

  • Being the custodian of the corporate records, including but not limited to all correspondence of the Chapter and the custodian of the seal of the Chapter

  • Google Drive file management

  • Board action item tracking and reminders (we use Trello)

  • Managing our google calendar

  • Evaluate operations and initiate projects which improve the logistics of running the board

  • Working with President and VP to plan and facilitate 2x per year strategy sessions

  • Onboarding new board members

  • Providing access for new board members to digital tools

  • Recordkeeping

  • Proactively see things which need to be documented or organized and chip away at those as time permits.

  • Monitoring chapter gmail account, and assigning individuals to take required actions.

  • Other administrative duties as needed

  • Commitment to spend 6-8 hours per month (slightly more the first few months)

Expectations of all ACMP Board Members:

  • You must be a member of ACMP, and Southern California must be your selected chapter.

  • Preference given to candidates who live and/or work in Southern California

  • Attend virtual board meetings every-other week, Mondays 5-6pm PT over Zoom.

  • Attend coworking time (body doubling) on weeks we don't have board meetings (Monday 5pm) . These are optional as long as you’re meeting your commitments

  • Track your work in our tool(Trello), keep status updated, set and keep due dates

  • All board members collaborate with other roles to meet the expectations of their role in a way that’s aligned with other roles and the overall goals of the chapter. We all chip-in and help outside our own role when we can.

  • Our goal is for each board member to attend 100% of the Board Meetings, however it’s understood we all may need to miss some. When missed, the member commits to providing their own status to Secretary (or President) prior to the meeting, reading the minutes and acting on action items. A board member who misses several meetings without communicating, or misses 50% or more meetings will be reconsidered for appropriate timing and fit for the role.

  • Board members attend events not only for their enrichment, but also to show board presence and support at events. At least one event/month is typical.

  • We all contribute to publicizing events and other chapter outreach accross our own personal networks. We use Linked In posts and more personal outreach (email, etc.)

  • Recruit volunteers and potential future board members

This is primarily a remote role with some in-person duties in SoCal several times per year.

Qualifications:

  • Clerical Skills using technology tools (e.g. Google Suite, Zoom, other tools you may need to learn)

  • Curiosity and eagerness to learn new things

  • Excellent organizational skills, dependability and tenacity

  • Attention to detail and accuracy

  • Strong written and verbal communication skills

  • Flexible with a positive attitude

  • Interest in Organizational Change Management topics (experience in change management is desired but not required)

What's in it for you

  • Get leadership experience to add to your CV

  • Work with, and establish relationships with senior, experienced board members

  • More autonomy and room to experiment with your vision than you'd typically have at work

  • Visibility and networking opportunities

  • Every year for the past 3 years a board member has found a job because of the networking provided by being on our board.

  • Qualifies for CEUs/PDUs for some organizations (e.g. ACMP, PMI, etc)

  • This is a lighthearted, fun, and supportive board to work with
