Position Overview:

The Admin/General Assistant will play a crucial role in supporting the Executive Director and the daily operations of our organization. This position involves a variety of administrative tasks, including managing schedules, handling correspondence, and providing support for various projects. Additionally, the role includes scheduling board calls and managing periodic research tasks essential for our strategic planning and organizational effectiveness.

Key Responsibilities:

  • Administrative Support: Manage the Executive Director's schedule, coordinate meetings, and handle administrative tasks such as filing, data entry, and record-keeping.
  • Correspondence: Draft and respond to emails, letters, and other communications on behalf of the Executive Director and the organization.
  • Office Management: Maintain office supplies, equipment, and ensure a tidy and organized workspace.
  • Event Coordination: Assist with organizing and coordinating events, including preparing materials, managing RSVPs, and handling event logistics.
  • Board Call Scheduling: Schedule board meetings, prepare agendas, send invitations, and manage related communications. Ensure all board members are informed and have access to meeting materials.
  • Research Tasks: Manage periodic research tasks by compiling data, preparing reports, and supporting the Executive Director with research needs related to strategic initiatives and organizational development.
  • Communication Tools: Utilize Monday CRM, Asana, and Slack to manage tasks, track project progress, and facilitate effective team communication.

  • Administrative Support: Manage the Executive Director's schedule, coordinate meetings, and handle administrative tasks such as filing, data entry, and record-keeping.

  • Correspondence: Draft and respond to emails, letters, and other communications on behalf of the Executive Director and the organization.

  • Office Management: Maintain office supplies, equipment, and ensure a tidy and organized workspace.

  • Event Coordination: Assist with organizing and coordinating events, including preparing materials, managing RSVPs, and handling event logistics.

  • Board Call Scheduling: Schedule board meetings, prepare agendas, send invitations, and manage related communications. Ensure all board members are informed and have access to meeting materials.

  • Human Resource Responsibilities: Assist with basic HR functions including:

    • Onboarding: Coordinate onboarding activities for new hires, including orientation scheduling and preparation of onboarding materials.
    • Employee Records: Maintain and update employee records, including contact information, employment status, and other relevant data.
    • Benefits Administration: Assist with benefits enrollment and management, answer basic employee queries related to benefits and HR policies.
    • Compliance: Support HR compliance efforts by helping to ensure that the organization adheres to employment laws and regulations.
    • Employee Engagement: Assist with organizing employee engagement activities and maintaining a positive workplace environment.
  • Communication Tools: Utilize Monday CRM, Asana, and Slack to manage tasks, track project progress, and facilitate effective team communication.

Qualifications:

  • Previous experience in an administrative or support role is preferred, but not required.
  • Proficiency in Monday CRM, Asana, and Slack for task management and team collaboration.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to multitask and prioritize tasks effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment.
  • Basic understanding of human resource functions is a plus.
  • A positive attitude and willingness to contribute to a collaborative team environment.
