Event: Big Brothers Big Sisters of SLO County Dodge for a Cause Fundraiser

Event Date: Friday, October 4, 5:00pm - 9:00pm

Volunteer Position Overview:

The Registration Coordinator is a critical volunteer role responsible for managing participant registration for Big Brothers Big Sisters of SLO County’s annual Dodge for a Cause fundraiser. This role involves setting up and maintaining the registration portal, coordinating the day-of registration process, and training registration check-in volunteers. The Registration Coordinator will work closely with the Event Committee Chair to ensure a smooth and efficient registration experience for all participants.

Key Responsibilities :

Registration Setup and Management

- Set up and manage participant registration on the Qgiv registration portal.

- Ensure that the registration portal is user-friendly, accurate , and up-to-date .

- Monitor registration numbers and provide regular updates to the Event Committee Chair.

Day-of Registration Coordination

- Develop a detailed plan for the day-of registration process to ensure efficiency and accuracy.

- Coordinate logistics for the registration area, including tables, signage, and supplies.

- Oversee the registration process on the day of the event, troubleshooting any issues that arise.

Volunteer Training and Oversight

- Recruit and train volunteers for the registration check-in process.

- Provide detailed instructions and support to registration volunteers to ensure they are well-prepared.

- Supervise registration volunteers during the event, ensuring they are effectively managing their tasks.

Participant Communication

- Communicate with participants before the event to provide registration details and answer any questions.

- Send out confirmation emails and any necessary pre-event information to registered participants.

Data Management

- Maintain accurate records of participant registrations and payments.

- Compile and report registration data to the Event Committee Chair as needed.


- Strong organizational and problem-solving skills.

- Excellent communication and interpersonal abilities.

- Experience with online registration platforms (experience with Qgiv is a plus).

- Ability to work efficiently under pressure and manage multiple tasks.

- Attention to detail and a commitment to accuracy.

- Experience in volunteer coordination or event planning is preferred.

- Enthusiasm for the mission of Big Brothers Big Sisters and a commitment to making a positive impact.

Time Commitment:

- Immediate start with a commitment through the conclusion of the event and post-event debrief.

- Approximately 5 hours per week leading up to the event, with additional hours required as the event date approaches.
