Event: Big Brothers Big Sisters of SLO County Dodge for a Cause Fundraiser

Event Date: Friday, October 4, 5:00pm - 9:00pm

Position Overview:

The Event C oordinator is a pivotal volunteer role responsible for coordinating Big Brothers Big Sisters of SLO County’s annual Dodge for a Cause fundraiser. This event is essential for our organization’s mission of helping children achieve their potential through positive adult mentorship. The Event Committee Chair will oversee the planning and execution of the event, ensuring its success from start to finish.

Key Responsibilities:

Leadership and Coordination

- Lead the event committee, providing direction and support to committee members.

- Oversee the activities of sub-committee leads including Marketing, Graphic Design, Registration Coordinator, Raffle Procurement, and Volunteer Coordinator.

Event Planning and Management

- Develop and manage an event timeline and ensure adherence to deadlines.

- Coordinate with the venue, Avila Bay Athletic Club, to finalize arrangements for food, lighting, and other logistical needs.

- Ensure all permits and legal requirements are met for the event.

Marketing and Promotion

- Work with the Marketing lead to create and implement a promotion strategy to maximize attendance and engagement.

- Approve marketing materials, including graphics and promotional content.

Volunteer Coordination

- Collaborate with the Volunteer Coordinator to recruit, train, and manage event volunteers.

Raffle and Fundraising

- Oversee the Raffle Procurement lead in securing raffle items and organizing raffle activities.

- Ensure effective fundraising strategies are in place and executed.

- Registration and Attendee Management:

- Supervise the Registration Coordinator to manage attendee sign-ups and ensure smooth check-in processes.

Event Execution

- On the day of the event, manage the overall event flow, troubleshoot issues, and ensure a positive experience for all attendees.

- Conduct a post-event debrief to evaluate success and areas for improvement.

Qualifications:

- Strong leadership and organizational skills.

- Excellent communication and interpersonal abilities.

- Experience in event planning and management.

- Ability to work collaboratively with a diverse team.

- Enthusiasm for the mission of Big Brothers Big Sisters and a commitment to making a positive impact.

Time Commitment:

- Immediate start with a commitment through the conclusion of the event and post-event debrief.

- Approximately 5-10 hours per week leading up to the event, with additional hours required as the event date approaches.
