A welcoming committee is a great way to ensure that new members and volunteers feel embraced and informed.

The volunteer welcoming committee plays a crucial role in making newcomers feel valued, informed, and connected within the organization. Their primary goal is to create a positive and inclusive experience for all volunteers.

  1. Orientation and Onboarding:

    • Welcome New Volunteers: Greet new volunteers with warmth and enthusiasm. Provide a friendly introduction to the organization and its mission.
    • Orientation Sessions: Organize orientation sessions for new volunteers. Cover essential information such as organizational history, values, policies, and available opportunities.
    • Tour of Facilities: Arrange tours of the organization’s facilities, including office spaces, meeting rooms, and any relevant program areas.

    • Buddy System: Pair new volunteers with experienced volunteers ("buddies"). Buddies can answer questions, offer guidance, and help newcomers acclimate.
    • Individual Welcomes: Ensure that each new volunteer receives a personalized welcome message or phone call shortly after joining.
    • Answer Queries: Be available to address any queries or concerns that new volunteers may have.
  3. Event Participation:

    • Attend Events: Welcome committee members should attend volunteer events, meetings, and gatherings. Their presence reinforces the sense of community.
    • Introduce Newcomers: Introduce new volunteers to other team members, staff, and fellow volunteers during events.
    • Facilitate Networking: Encourage connections among volunteers by facilitating conversations and introductions.
  4. Feedback Collection:

    • Feedback Surveys: Create and distribute feedback surveys to new volunteers. Gather insights on their experiences and suggestions for improvement.
    • Regular Check-Ins: Conduct follow-up check-ins with new volunteers to assess their satisfaction and address any issues.
  5. Recognition and Appreciation:

    • Celebrate Milestones: Acknowledge volunteer milestones (e.g., first month, anniversary) with small celebrations or tokens of appreciation.
    • Express Gratitude: Regularly express gratitude to volunteers for their contributions. A simple thank-you note can go a long way.
  6. Communication:

    • Welcome Emails: Send personalized welcome emails to new volunteers, including relevant resources and contact information.
    • Social Media Shoutouts: Highlight new volunteers on social media platforms to showcase their involvement.
    • Updates: Keep volunteers informed about upcoming events, training sessions, and opportunities.
  7. Inclusivity and Diversity:

    • Embrace Diversity: Ensure that the welcoming committee represents diverse backgrounds, cultures, and perspectives.
    • Cultural Sensitivity: Be aware of cultural differences and adapt your approach accordingly.
    • Language Support: If possible, provide information in multiple languages to accommodate diverse volunteers.

Remember that the welcoming committee sets the tone for the entire volunteer experience. Their warmth, organization, and commitment contribute significantly to building a strong and engaged volunteer community.
