Position Overview: Talented Girls in Action (TGIA) is seeking a highly organized and detail-oriented individual to join our team as an Event Planner Volunteer. The Event Planner will play a pivotal role in conceptualizing, planning, and executing events and activities that support the mission and objectives of TGIA and provide empowering experiences for talented girls.

Key Responsibilities:

  1. Event Conceptualization and Planning: Collaborate with the TGIA team to conceptualize and plan a variety of events and activities, including workshops, seminars, conferences, fundraisers, and community outreach events, tailored to the needs and interests of talented girls.

  2. Venue Selection and Logistics: Research, identify, and secure suitable venues for TGIA events, considering factors such as location, capacity, amenities, and accessibility. Coordinate logistics such as catering, audiovisual equipment, signage, and transportation as needed.

  3. Program Development: Work with program coordinators and subject matter experts to develop event agendas, content, and activities that align with TGIA's mission, goals, and target audience.

  4. Budget Management: Develop event budgets and financial plans, monitor expenses, and seek cost-effective solutions to ensure events are executed within budgetary constraints.

  5. Vendor and Supplier Coordination: Liaise with vendors, suppliers, and service providers to procure goods and services necessary for event execution, negotiate contracts and terms, and oversee vendor relationships.

  6. Promotion and Marketing: Collaborate with the Communications team to develop promotional materials, including event invitations, flyers, social media posts, and press releases, to effectively market TGIA events and attract participants.

  7. Registration and Attendee Management: Implement registration processes and systems for event attendees, manage RSVPs, coordinate attendee communications, and ensure a seamless registration and check-in experience for participants.

  8. On-site Event Management: Oversee all aspects of event execution, including set-up, registration, attendee assistance, program flow, speaker or presenter coordination, and on-site problem-solving to ensure events run smoothly and successfully.

  9. Post-event Evaluation and Reporting: Collect feedback from participants, volunteers, and stakeholders to evaluate event effectiveness and identify areas for improvement. Prepare post-event reports and recommendations for future events.

Qualifications:

  • Strong passion for empowering and supporting talented girls and young women.
  • Proven experience in event planning, coordination, or management, preferably in a nonprofit or community organization setting.
  • Excellent organizational, time management, and multitasking skills, with the ability to manage multiple projects and deadlines simultaneously.
  • Strong communication and interpersonal skills, with the ability to work collaboratively with diverse stakeholders, volunteers, and vendors.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software/tools preferred.
  • Creative mindset with the ability to develop innovative event concepts and experiences.
  • Flexible schedule and availability to work evenings and weekends as needed.

Description

Talented Girls In Action is an after school program that exist to advance the next generation of young girls through a multifaceted curriculum, mentor-ship, individualized tutoring and enrichment opportunities.

We serve girls from the ages of 12 to 18 that come from disadvantage backgrounds. Our main initiative to encourage girls to come into confident possession of their own unique talents by transforming their underprivileged mindset and providing a new outlook into their academic future.

Many young girls are dealing with very challenging socio-economic issues that inhibit them from finding positive outlets for their time and energy.

Through TGIA young girls will be able to discuss their problems in a safe and nurturing environment where viable solution are provided for them to pursue. All the while developing a positive outlook for their futures and their self image.
