Job Title: Staff Associate

Organization: The Pivot Fund

Location: Atlanta, GA (remote option available)

Job Type: Part-Time, 20 hours per week

Salary: $25 - $30/hour based on experience

Reports To: CEO Tracie Powell

Job Summary:

The Staff Associate at The Pivot Fund will play a crucial role in supporting the organization, ensuring seamless operations and contributing to the organization's mission. This multifaceted role involves a combination of administrative responsibilities, executive assistance, and active participation in focused initiatives.

Responsibilities: 1. Administrative Support:
  • Organize and Manage Files: Maintain organized electronic and physical files related to projects, research, and administrative tasks.
  • Calendar Management: Schedule meetings, appointments, and events for the department, and coordinate with internal and external stakeholders.
  • Correspondence: Draft and proofread emails, memos, and other communications on behalf of the organization.
  • Travel Arrangements: Assist in making travel arrangements for organization members as needed.
2. Executive Assistance:
  • Support Executive Team: Provide high-level administrative support to executives within the organization.
  • Meeting Preparation: Prepare materials and agendas for meetings, ensuring executives are well-informed and organized.
  • Communication Liaison: Act as a liaison between executives and internal/external stakeholders, ensuring effective communication.
3. Organization-Focused Duties:
  • Research Assistance: Assist in researching and gathering information for reports, newsletters, and projects.
  • Event Coordination: Assist in organizing and coordinating events related to news and media initiatives.
  1. Bookkeeping Responsibilities:
  • Maintain accurate and up-to-date financial records using accounting software or spreadsheets.
  • Track and categorize expenses incurred by the organization.
  • Process invoices for contractors or vendors.
  • Ensure compliance with accounting standards and internal financial policies.
  • Assist staff in preparing and submitting expense reports.
  • Review and verify expense reports for accuracy and compliance with organizational policies.
  • Collaborate with other departments to gather financial information and support their budgeting needs.
5. General Support:
  • Team Collaboration: Work collaboratively with other departments to support overall organizational goals.
  • Problem-Solving: Address day-to-day operational challenges and contribute to the resolution of issues as they arise.
Qualifications:
  • 2- or 4-year degree in a relevant field or equivalent experience.
  • Previous experience in administrative support, executive assistance, or a similar role.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite and other relevant software.
  • Proficiency in accounting software (e.g., QuickBooks, Xero) and Microsoft Excel.
  • Attention to detail and accuracy in data entry and financial reporting.
  • Understanding of basic accounting principles and practices.
  • Strong organizational and time-management skills.
  • Familiarity with news and media operations is a plus.

The Pivot Fund helps fight disinformation that disproportionately affects people of color by investing in trusted, culturally competent news outlets. The organizations The Pivot Fund supports do not just write about BIPOC communities; they write for them.

When BIPOC-led community news organizations can reach their communities effectively, our society is more informed and more connected.
