Philly Peace in progress is a black-and-woman-led community -based 501 (c)(3) non-profit organization in West Philadelphia, PA. We are on a mission to rebuild troubled youth by helping them become more positive and healthy problem solvers. The goal is to help them develop problem solving skills through fun, yet educational field trips, group talks with experts, skill-focused activities and tutoring.
We are also an outreach service.

GENERAL JOB DESCRIPTION

Secretary is responsible for facilitating communications within an office and fielding interactions with the public. Their duties include answering calls, making calls, scheduling meetings, and providing personalized support for other employees.

Volunteer position that may become paid position.

MAJOR DUTIES AND RESPONSIBILITES

Prepare and manage correspondence, reports and documents
Organize and coordinate meetings, conferences, travel arrangements
Research information.

Type and distribute minutes of meetings
Implement and maintain office systems
Maintain schedules and calendars
Arrange and confirm appointments
Organize internal and external events
Handle incoming emails, mail and other material
Set up and maintain document management systems
Set up work procedures
Collate information
Maintain databases & spreadsheets
Communicate verbally and in writing to answer inquiries and provide information
Liaison with internal and external contacts
Coordinate the flow of information both internally and externally
Operate office equipment
Manage office supplies

MINOR DUTIES AND RESPONSIBILITIES

Greet visitors and direct them to the appropriate departments or individuals
Answer telephones and respond to inquiries via telephone or email
Book meeting rooms, set up conference calls and take messages and minutes during meetings
Perform administrative tasks, including filing and photocopying

Write emails, memos and letters
Implement and/or develop office procedures and record systems
Manage database entry and client files
Order and maintain supplies
Document financial information
Organize and distribute messages
Make and confirm travel arrangements
Prepare and mail outgoing correspondence
Maintain confidential department files/records
Perform routine bookkeeping tasks
Assist with presentations and reports

QUALIFICATIONS FOR THE JOB

Relevant training or qualification
Knowledge and experience of relevant software applications including spreadsheets and database management.
Knowledge of administrative and clerical procedures
Knowledge of business principles
Proficient in spelling, punctuation, grammar and other English language skills
Proven experience of producing correspondence and documents
Proven experience in information and communication management
Required typing speed 40 wpm
experience in email marketing

Mission Statement

Philly Peace in Progress is a nonprofit organization which was formed to reduce urban violence and poverty by providing outreach services to troubled inner-city teens and young adults while they learn how to resolve conflict without violence. Our services will cultivate positive leaders and promote better decision makers by providing educational and cultural enrichment, mentoring, life transformation skills, and empower youth and families to navigate through challenges that often lead to community violence.

Description

Philly peace in progress have held annual community events. We believe that it is imperative that we must work towards gaining trust within our community while promoting bonds to create safer and healthier neighborhoods and to also work to establish better relationships with law enforcement. Age group is from 10 to 21 for girls and boys.
Goals
1. To deliver relevant programs for youth that will aid in their successful development
2. To provide reading, math, english, computer skills tutoring for teens and young adults
3. Trade skills assistance
4.To provide cultural enrichment program that will provide exposure to youth to people, places, food, activities and events with cultural historical importance. It will provide positive learning experiences and appreciating for culture as well as promote self respect for themselves and for others.
5.To introduce and pair teens and young adults to community leaders as mentors; through group and one-on-one mentoring programs.
6.To establish a strong network of supporting partners to provide opportunities and resources that will broaden our teens and young adults experiences, through trade skills, educational and community programs that strengthen their intellectual and begins the healing of negative behaviors into positive leaders and lifestyles.
