Overview:

Agate Housing and Services helps people experiencing homelessness with the mission of ending homelessness and hunger. The agency addresses a variety of issues surrounding homelessness, and one example is the Representative Payee Program, which currently helps 500 clients manage their finances. Each Payee acts as a receiver for a client’s Social Security Disability or Supplemental Security Income payments. These services ensure bills are paid, and that spending money is distributed on a routine basis. Social Security mails them correspondence regarding each client at various times of the year.

Agate is looking for an Administrative Assistant who can support their department by filing social security letters and client checks over the summer. This supports Representative Payees by keeping them organized and increasing their capacity to focus on their highest priorities. The Administrative Assistant would also help other departments with similar work as needed. We have another, long-term Administrative Assistant coming back around mid-September, but there may be opportunity for the Summer Assistant to extend their administrative support in other areas of the agency.


Primary Responsibilities
:

  • Helping file all letters received from Social Security
  • Helping file all checks issued to client
  • Helping with other administrative needs

Training and Confidentiality:

This individual will receive full training and orientation in their specific role, as well as a tour of the facility in which they will be working. They will be informed about our organization, services, and how their commitment impacts our work in the community. The Administrative Assistant can expect to be trained how to file correspondence letters and client checks. The Administrative Assistant will be exposed to personal information and will be required to sign a volunteer handbook which states the volunteer will not share any of this information.

Support and Supervision:

The Administrative Assistant’s on-site supervisor will be Anindita Bhattacharya, the Accounting Manager. The volunteer should direct their questions, comments, and concerns directly to Anindita Bhattacharya. If at some point their on-site supervisor is unavailable, the volunteer can also reach out to other staff members within the department, like Representative Payee, Kristi Mercer.

Commitment:

  • 3 month minimum
  • Weekly
  • Flexible on hours
  • In-person

Requirements:

  • Excellent communication skills in English (written and verbal)
  • Ability to alphabetize letters and file
  • Ability to work independently and with a team
  • Available during weekday office hours (E.g., 9:00AM - 5:00PM)

Impact:

Staff in the Representative Payee department serve around 500 clients and are responsible for keeping track of all client files and information. Their highest priority is serving their clients, who often call frequently or come in during office hours, every day. It can be stressful and difficult to keep a current record of every Social Security correspondence and every client’s check, while working directly with clients on a daily basis. The Administrative Assistant can help relieve stress by taking on this task of sorting and organizing. This frees up Payees which can improve the quality of their daily engagements and service delivery.
