Job Title: Volunteer Event Planner for University Campus Summer Camp - University of British Columbia Campus

Duration: 4 Weeks

Time Commitment: 3 hours per week

STEM Canada is a registered not for profit global program that specializes in an advanced, bar-none STEM-based educational curriculum that emphasizes the interconnected subject areas of science, technology, engineering, and math (STEM). The STEM program is open to all students from preschool to high school with the mission to deliver top-notch STEM literacy and application, designed to teach students in the STEM fields, yielding globally competitive results.

Job Description:

As a Volunteer Event Planner for our University Campus Summer Program, you will be a key member of the planning and execution team for various camp activities. The role requires coordinating with external food vendors, planning gala events, assisting with photograph taking, and orchestrating off-campus activities.

Key Responsibilities:

  • Program Volunteer Coordination
  • Food Vendor Coordination - Work closely with external food vendors to arrange meal plans for program attendees.
  • Planning the weekly gala, including sourcing music, activities, agenda and flow of the 3 hour event each week

Gala Planning:

  • Assist with the planning and execution of a gala event during the program.
  • Coordinate with the decoration team, entertainment, and facilities.
  • Plan the setting up and tearing down the event.
  • Video and Photograph Taking: Create a team of photographers in capturing memorable moments during the program activities.
  • Help prepare photography locations and equipment required.
  • Coordinate with program attendees for group photos and candid shots.

Off-Campus Activity Planning:

  • Organize and plan off-campus activities for program attendees around the city
  • Handle logistics and safety measures, coordinating with off-site venues as necessary.
  • Make any instruction documents for instructors for the off-campus activities and ensure they run smoothly.

Requirements:

  • Strong organizational skills and attention to detail.
  • Good communication and interpersonal skills.
  • Ability to work well in a team and independently.
  • A positive attitude and ability to work under pressure.
  • Flexibility to handle changes in plans or schedules.
  • Previous event planning experience is a plus but not necessary.
