Overview:
We are seeking an Administrative Assistant / Volunteer Coordinator to oversee and streamline all aspects of our volunteer program, ensuring smooth operations and meaningful volunteer experiences. This role is essential for managing recruitment, training, scheduling, and evaluation processes while maintaining clear communication across teams and volunteers.

Ideal Candidate Profile:

  • Strong organizational and time-management skills.
  • Experience with volunteer recruitment and coordination.
  • Proficient in project management tools (e.g., VolunteerMatch, Monday.com).
  • Excellent written and verbal communication skills.
  • Detail-oriented with the ability to track volunteer data and performance.
  • Comfortable managing multiple projects simultaneously.

Responsibilities:

  • Recruit and onboard volunteers to ensure adequate staffing for events and ongoing programs.
  • Provide regular updates on volunteer staffing needs and adjust plans accordingly.
  • Develop and implement volunteer process documentation and tools to streamline onboarding and training.
  • Create a volunteer evaluation plan to measure engagement, performance, and satisfaction.
  • Manage and monitor project plans, schedules, and budgets related to volunteer programs.
  • Maintain and oversee volunteer data using tools like VolunteerMatch and Monday.com.
  • Track and report volunteer hours, participation rates, and impact metrics.
  • Coordinate training sessions and workshops for volunteers as needed.
  • Assist with administrative tasks, meeting minutes, and general documentation.

Requirements:

  • Proficiency in VolunteerMatch, Monday.com, and Google Workspace tools.
  • Experience in volunteer management and administrative support.
  • Strong interpersonal and communication skills.
  • Ability to create and manage systems for data tracking and reporting.

  • Regular virtual check-ins with team leads and leadership staff.
