Free Haven Community Initiative, Inc. (FHCI) is a registered Non-Governmental Organization (NGO) located in Livingstone, Zambia that has four main areas of focus: Education, Health, Nutrition, and Empowerment.

In order for the Zambian NGO to be successful, a non-profit organization called Free Haven Community Initiative, Inc. was formed in the United States to assist its Zambian counterpart. By organizing fundraisers, processing donations, and handling marketing strategies, this partnership makes it possible for the Zambian-based NGO to carry out its day to day functions and focus on its primary goals.

The American non-profit is run by a board of directors. The people on this board volunteer their time to make the aforementioned tasks possible. In addition to the American team, the Zambian-based NGO has its own board of directors to manage the organization’s projects in Zambia.

Responsibilities

  • The Secretary shall document Board meeting minutes and ensure they are approved by the Board and filed
  • The Secretary ensures that all records and documents of the organization are properly maintained by the organization
  • The Secretary ensures all governance documents including bylaws, articles of incorporation and policies are reviewed annually, updated as needed and approved by the board
  • The Secretary is responsible to ensure notice of board meetings and for the timely distribution of board meeting materials
  • Attend regular board meetings and other meetings as required
  • Active participation in Board meetings and committee related work and provide thoughtful inputs as needed
  • Participate in fundraising for the organization, working towards personally set goals
  • Adhere to all board and organization agreements, rules, and bylaws
  • Spread knowledge of the organization to family, friends, and others

Position Requirements:

  • Excellent communication skills (the board operates in English)
  • Organized and professional demeanor
  • Previous secretarial experience with an NGO (preferred)
  • Conflict management skills
  • Business / non-profit management experience (preferred)
  • Fundraising / fund development/sales experience (nice to have)
  • Prior board experience (nice to have)
  • Can consistently dedicate at least 10 hours /month, 20 hours /month is preferred
  • The Secretary will serve for one year, renewable for up to four years.

Good to Know

  • We meet quarterly for board meetings, usually on Sunday afternoon EST (1.5-2 hour meetings are standard)
  • We have board members in west to east coast North America, Europe, and Zambia - some flexibility in meeting times is appreciated to accommodate everyone (we almost always meet on Sundays, sometimes Saturdays)
  • As we are a growing organization, we expect our board members to participate in fundraising and awareness campaigns
