The Gala Assistant supports the Special Events Coordinator and Development Team in the day-to-day functions of the department.

Responsibilities include:

  • Email correspondence with potential vendors requesting auction items for 2023 Gala.
  • Fill out online donation forms where applicable and tracking procurement progress.
  • Making phone calls and sending emails to potential vendors, donors, guests, and sponsors.
  • Helping with procurement packet mailings, invitation mailings, and other tasks.
  • Update the master sheet adequately with responses in a timely manner.
  • Follow-up on donation requests.
  • Helping register guests for the event.
  • Respond to vendor queries, send out requested documents and direct them to the relevant personnel from the organization.
  • Must be comfortable being flexible in day-to-day tasks, since responsibilities change based on necessary projects and changing deadlines
