Children First Intern Office Assistant Job Description

A Children First Intern Office Assistant will have the unique opportunity to get a deep insight on how to effectively manage and support a nonprofit organization. Where they will have the opportunity to better understand for non-profit best practices, human resources, program management, board functioning, products, volunteer management, fundraising, and etc. This position involves assisting the Executive Director and Operations Director with:
- Research
- Taking notes
- Organizing Materials for clients, volunteers and board members (binder creation)
- Editing letters, documents
- Updating and creating spreadsheets
- File creation and management on Microsoft Teams and Google
- Maintain supply room, notify Teams if materials are needed
- Assist the onboarding process of new volunteers and staff
- Answering and returning phone calls, distributing messages and diverting non-essential calls away from the Executive Director
- Sitting at the front desk Greeting and helping guests as they enter, reminding them of our COVID policy and notifying staff of their arrival
- Helping with mail distribution
- Assembly, removal or destruction of items (etc. Desk, chair) Create forms and graphics
- Take recycling material to CHARM
- Diaper pick up and organization
- Cleaning and sanitizing work areas
- Light housekeeping including weep the floors, blow the leaves off the porch, monitor trash and Taking out garbage and recycling when full maintain a tidy work environment through-out share spaces in the office.
- Accepting packages and sending message to recipients
- Checking email and Teams for any tasks
- Bringing in mail and put in ED folder
- Helping others on tasks where needed
- Stocking paper towels, toilet paper, soap, diapers, wipes, candy jars, drinks, and paper in printer when needed
- Water plants once a week
- Possible van trips for maintenance, gas, cleaning with occasional delivery and pick up to the storage unit
- And other tasks as they arise
Office Assistants must be/use/have:
- Well organized, flexible, and creative
- Clear and direct communication and have a good understanding of their availability
- Able to engage well with others and brings enthusiastic energy to the team
- Friendly and personable demeanor
- Initiative and follow through.
- Good writing skills
- Able to manage and complete multiple tasks in a timely manner and understand how to prioritize those tasks efficiently to meet deadlines
- Able to ask for help if they need further clarity about a task
- Dedicated to the mission of Children First and constantly strive to think of thoughtful new ways to strengthen the organization
Work will be done in person with weekly check-ins, once established.
Much of the tasks and projects will be behind the scenes work that is necessary for the organization to run smoothly. Individuals who have a passion for social work, nonprofit management, a positive attitude, and have a strong desire to help the Children First vision become a reality, will thrive in this position.
Managing a nonprofit is a group effort in which interns play a key part. Our Children First interns work as a team to manage tasks.
Internship hours may vary. Typical hours are from 15-25 hrs of a week, between M-F 9-5pm
Interns will need:
- Driver’s license and insurance
- A working knowledge of Microsoft Teams, The Google Suite and Canva, and/or a willingness to learn these platforms.
- Willingness to be the only person in the office at times

Family Time Community Visitation provides supervised visitation for families seperated by abuse or neglect.
SPARC - Supportive Parenting and Access Resource Center works with non-custodial parents to increase their emotional and financial support of their children
