This is a great opportunity to assist a non profit industry association for newborn
care specialists with diverse projects and provide executive level administrative
support.

Responsibilities include but are not limited to:

  • General NCSA email monitoring and responding or forwarding questions/issues
  • to appropriate committee heads or board members when needed

  • Monitoring NCSA Facebook direct messages and responding or forwarding
  • questions/issues to appropriate committee heads or board members when
  • needed.
  • Monitoring NCSA Instagram direct messages and responding or forwarding
  • questions/issues to appropriate committee heads or board members when
  • needed.
  • Monitoring NCSA LinkedIn page and messages and responding or forwarding
  • questions/issues to appropriate committee heads or board members when
  • needed.
  • Monitoring and accepting new members into NCSA Members Facebook Group.
  • Managing verification of hours for certification and updating Certification
  • Spreadsheet.
  • Social Media management - gathering resources for posts, scheduling social
  • media posts and monitoring responses.
  • Basic updates to our website (such as spelling/grammar errors).

The NCSA is looking for a highly organized and detail-oriented Virtual Assistant
to keep our day to day administrative side of the NCSA running smoothly and
efficiently.

You should be able to perform the following duties:

* Familiarity with latest workplace technologies, including VoIP, online
calendars and desktop sharing
* Working knowledge of spreadsheet and word-processing program
* Excellent multitasking, time management and organizational skills
* Ability to work with minimum supervision
* Proven experience as an executive assistant or other relevant
administrative support experience.
* In-depth understanding of entire MS Office suite.
* Ability to organize a daily workload by priorities.
* Must be able to meet deadlines in a fast-paced quickly changing
environment.
* A proactive approach to problem-solving with strong decision-making
skills.
* Professional level verbal and written communications skills.
* Schedule appointments and maintain calendars
* Schedule and coordinate staff and other meetings
* Collate and distribute mail
* Prepare communications, such as memos, emails, invoices, reports and
other correspondence
* Write and edit documents from letters to reports and instructional
documents
* Create and maintain filing systems, both electronic and physical
* Manage accounts and perform bookkeeping
