Description
TRUU is seeking an administrative assistant.
Administrative assistants job description:
Administrative assistants handle general office tasks and administrative duties, greeting clients and customers, such as directing communications between colleagues and customers, organizing schedules and events, entering data, bookkeeping, maintaining office equipment and so on.
Administrative Assistant Duties & Responsibilities
- General administrative duties including
- drafting communications,
- managing mailings, customer service,
- preparing reports,
- and maintaining appropriate filing systems. Office management duties including ordering supplies, troubleshooting technology problems, and coordinating with outside vendors for services/repairs Maintain Records Systems
Nonprofits with memberships collect dues and fees from members. The administrative assistant is responsible for creating, maintaining and updating the database for membership fees and keeping track of renewal dates. Each month, she will send out dues reminders to members along with monthly board minutes and announcements. The responsibility of maintaining electronic and paper filing systems falls on her shoulders, reports
Day-to-Day CommunicationNonprofit administrative assistants handle the day-to-day communications for the director or managerial employees in the organization. She operates as the organization's gatekeeper because most everything crosses her desk first. She answers calls, takes messages, schedules meetings and writes letters or prepares draft press releases. She opens and sorts mail and delivers it to the appropriate personnel. She might respond to email inquiries or route them to the executive.
The administrative assistant proofreads reports and written documents for grammar, punctuation and spelling errors. In smaller nonprofit organizations, the administrative assistant also creates draft communications for the director's overview
Education and Experience Requirements
- High school diploma preferred
- Two years working in the service or administrative industry preferred
Required Skills
- Self-motivated, highly organized and detail-oriented
- Verbal and written communication skills
- Basic math and accounting skills
Preferred Skills
- Experience operating a cash register (as needed)
- Critical thinking, evaluation and analytical skills
