Position: COY Volunteer Coordinator

Program: Best Buddies Champion of the Year

Time Commitment: 8- 12 hours/week; 3-month minimum commitment

SUMMARY:

The Best Buddies Champion of the Year gala raises awareness and funds to support inclusion for individuals with intellectual and developmental disabilities (IDD). The Volunteer Coordinator would support the planning of the event.

JOB SUMMARY:

The Volunteer Coordinator, along with Best Buddies staff, supports the planning of the COY gala through a series of tasks; researching community organizations and businesses, event planning, soliciting in-kind donations, and recruiting volunteers.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES:

  • Silent Auction Solicitation
    • Identify businesses and organizations to solicit donations for the COY silent auction
    • Draft and send out solicitations to identified businesses and organizations
    • Follow up with businesses and organizations in a timely fashion
    • Working with Best Buddies staff, arrange the pick-up of donated items
    • Sending out letters of acknowledgment to donors

  • Sponsorships

The Volunteer Coordinator would provide support in securing corporate sponsorships for the COY gala within the community. This includes making a target ask list, researching contact people for each company, and providing support to the Best Buddies staff in making asks.

  • Kick-Off

Help coordinate the Kick-Off by finding a location, planning logistics, and working with staff to invite champions and campaign managers.

  • Logistics
    • Volunteer Recruitment: responsible for recruiting 10 volunteers for event day through reaching out to volunteer websites, community services groups, companies, and school clubs.
    • Solicitation of in-kind donations: responsible for overseeing all necessary donations are in place for event day including, but not limited to food and water, snacks, decorations, entertainment, cones, signage, etc. The Volunteer Coordinator will reach out to local businesses, both new and existing relationships to find donations.

JOB QUALIFICATIONS & EXPERIENCE:

  • Experience working with adults with Intellectual and Development Disabilities (IDD), and familiarity with issues of particular relevance to adults with IDD;
  • A passion for Best Buddies’ work and mission;
  • Excellent telephone and e-mail etiquette;
  • Strong organizational skills with the ability to multitask;
  • Proficiency in Microsoft Office programs-Word, Excel, Publisher, etc.;
  • Strong verbal and written communication skills;
  • Ability to work independently and in a team environment;
  • Responsible, respectful, and dependable;
  • Previous fundraising experience a plus;
  • Willingness to travel and participate in COY activities/events.

TRAINING, AND/OR EDUCATION:

  • None-opportunity based on experience;
  • Training will be provided.
