APPALACHIAN TRAIL CONSERVANCY

Organize and coordinate promotional material give-aways for participants attending the 2022 A.T. Vista which is to take place at SUNY New Paltz on Aug. 5-8, 2022. A.T. Vista is a biennial gathering for people interested in enjoying and learning about the Appalachian Trail and all things outdoors!

General Description:

A conference would not be a conference without swag and promotional materials for local businesses. Work with the Marketing Chair and the Conference co-chair in charge of sponsors to determine what items will be handed out . Previous conferences have items such as partch, bandana, and some means of carrying that material such as a tote bag or small pack. T-shirts are handled through a different position.

Objective:

Select and purchase any souvenir items pertaining to the conference. and oversee either the free distribution and /or the sales of such items during the conference.

Specific Tasks:

Prior to the Conference

  • Track your own volunteer hours
  • Present and monitor budget
  • With Marketing chair, determine what swag and promotional materials will be destributed
  • Contact providers including local businesses who can offer discounts at their establishments
  • Collect swag and materials promoting local businesses
  • Contact Volunteer Resources Chair for names of people to help fill the swag bags (a great job for a youth group)

At the Conference

  • Bring swag bags to be distributed at Registration table
  • Track your oen volunteer hours

After the Conference

  • Submit a report

  • Work with knowledgeable hikers from outside your region
  • Learn how to enter content on the AT Vista website
  • Be able to say you worked on a multi-day conference

Time Line:

May of the year prior to the conference - Preliminary report for June Steering Committee Mtg.

January of the year of the conference - progress report for Steering Committee

Spring of the year of the conferene - Finalize plans, purchase goods

Meeting week-Staff sales desk, distribute complimentary items

September after the conference - Final Report Due
