Job Summary
The Event Coordinator is responsible for the coordination and support of the organization's fundraising events. This role requires the orchestration and hands-on involvement in all event activities; development and management of event committees and volunteers; development of corporate and business relationships, event marketing and outreach ideas. This position is responsible for soliciting sponsors, advertising plans, coordinating the events team, covering the logistics of the event and most importantly generating profits.
Essential Duties and Functions
- Manage event operations, including preparing venue, on-site set up, ensuring the best experience for participants at the event from entry to exit, on-site breakdown and clean up
- Keep and maintain a calendar of upcoming events
- Identify type of event for planning purposes
- Give event details to marketing team to advertise event
- Notify volunteers of the event calendar and needs
- Direct event timelines and associated staff and volunteer activities to insure all elements of the event are delivered on time and in quality fashion
- Track revenue, expenses and budgeted forecast for all events (including hours spent on each event)
- Contact venue manager to confirm date, time and details of the event
- Production and oversight of all event materials
- Negotiate with vendors to achieve the most favorable terms
- Oversee every aspect of onsite event and act quickly to resolve problems
- Make the event happen per the planning
- Evaluate event’s success and submit reports
- Positively manage members of the event team to accomplish goals
- Oversee special projects; online auctions, social media fundraisers etc
- Planning the promotion of the event
- Planning of events around and outside of the DFW area
Physical Requirements and Work Environment
- Occasional lifting of up to 50 pounds may be required
- Including but not limited to; walking, stooping (bend at waist), standing, sitting, driving, stretching/reaching
- Light travel outside the DFW area possible
Qualifications
- High School Diploma or equivalent or higher
- Knowledge of vendor management, event planning and management preferred
- Excellent customer service skills
- Available to work flexible scheduling if required
- Successful track record of fundraising events
Knowledge, Skills and Abilities
- Excellent writing, presentation, computer, and database management skills
- Ability to work collaboratively, independently and remotely in a fashion that maintains strong and open lines of communication
- Ability to manage multiple projects and meet appropriate deadlines
- Intermediate knowledge of Microsoft Office
- Knowledge of Google Suites preferred
- Previous experience or strong interest in working with a non-profit
- Compassion for animals
