Ithaca Welcomes Refugees is seeking a volunteer Board Secretary to work with a vibrant and diverse team on the development of this growing organization. 

 The IWR Secretary should have a personal commitment to the goals and objectives of IWR, outlined in our mission statement:

Ithaca Welcomes Refugees (IWR) is a volunteer-led initiative, founded in December 2015, as a result of collective community reaction to the global refugee crisis. IWR works to foster a welcoming and fair environment for refugees and at-risk immigrants in our region.

The role of Secretary will include oversight of meeting operations, internal communications, record maintenance, contact management, and Board governance support.

Roles and Responsibilities:

  • Attend IWR Board Meetings, currently twice per month
  • Maintain knowledge of IWR activities and personal commitment to its goals and objectives
  • Maintain consistent and open communication with IWR Board
  • Meeting Operations - Poll member availability, source agenda items from members, and schedule Board meetings. Record, distribute, and store Board meeting agendas and minutes
  • Communications - Handle incoming and outgoing correspondence on behalf of the Board. Maintain internal Basecamp communications system.
  • Record Maintenance - Coordinate the Board’s review and maintenance of IWR by-laws, governance policies, goals, committee structures, policies, records, and mission statement details. Develop and enforce policies on access to confidential documents and information. Maintain OneDrive document storage system for Board and Teams.
  • Non-Profit Filings - Provide support to the Board Treasurer to meet legal filing requirements, such as annual filing deadlines.
  • Contacts - Maintain roster of IWR leadership and members. Maintain contact information on partner agencies and individuals.
  • Governance - Research, provide advice, and connect to resources on Board governance issues, to help ensure IWR accountability to its mission and compliance with relevant regulations. Facilitate a regular process of Board and Team self-assessments. Work with the Chair on the recruitment, election, and education of new Board members.
