The Executive Assistant will coordinate the work of the Board of Directors, collaborating with the Communications and Development Leader, assisting the organization in database management, calendar and meeting management, fundraising efforts and event coordination. Support may also include tasks related to grant writing and travel coordination.

Responsibilities:

The Executive Assistant acts as the "office manager" for Marjorie’s Fund, and provides administrative support performing such duties as:

  • Maintaining accurate financial records.
    • Record line-item amount for all wires, checks, and other debits to allow for detailed analysis of program expenditures.
    • Update donor database - Network For Good (NFG)- with donations received through all non-NFG processed sources such as checks, cash, Facebook, Paypal, other.
  • Reconciling finances and create reports for Board Treasurer presentation at quarterly Board meetings
  • Ensuring timely and appropriate acknowledgment and thank you letters of all gifts to the Fund
  • Providing meeting management support to Board Chair:
    • Maintain a calendar of Board meetings, send reminders to Board and take care of all logistics relating to meetings (for eg., virtual meeting invitations/meeting locations/coordinating snacks/meals)
  • Managing updates to the organization’s web site and social media pages, under the guidance of the Communication Director
  • Providing logistical support for events, especially for annual fundraising gala
  • Maintaining updated, labeled, shared folder of all files and media (logos, photos, videos)
  • Performing other duties as assigned

Qualifications

  • A deep passion for the mission of Marjorie’s Fund for Type 1 Diabetes.
  • Excellent computer skills, with proficiency in the Microsoft Office Suite of Products, particularly Excel
  • Experience with CRM and Donor Management Software
  • Experience with virtual collaboration tools Google Documents/Sheets; Box.com
  • Attention to detail
  • Good written and oral communication skills
  • A willingness and ability to multitask and assist with tasks of a variety of natures, tactical and administrative
  • Strong interpersonal skills
  • Ability to work independently and collaboratively with team
  • Sensitivity to cultural differences in light of Marjorie's Fund’s global work and Marjorie’s Fund deep commitment to Diversity and Inclusion.
  • Non-profit experience preferred

  • Variable, on average 5 hours /week — Remuneration= $20/hour; contractual; no benefits; pre-approved expenses reimbursed
  • This is a virtual job, however, residence in NYC is required as there will be some in-person meetings when safely possible to do so as the global pandemic abates. **Must have access to own computer and working internet and phone.
