Position Overview: Take charge of coordinating, organizing, and supervising all tax preparation activities at a VITA site operation. Your role involves ensuring a smooth process and flow at the tax site, supporting, and managing volunteers, and guaranteeing the provision of quality tax preparation services.

Position Summary: The VITA Program extends cost-free federal tax return preparation assistance to low-to-moderate-income individuals and families. As the VITA Site Coordinator, your responsibilities revolve around administering and orchestrating the logistical aspects of a prominent volunteer-operated electronic tax preparation site.

This role demands proficiency in utilizing tax preparation software, efficient volunteer management, adherence to elevated ethical standards, and strict compliance with policies, procedures, and directives from United Way Suncoast and the Internal Revenue Service. The Site Coordinator will undergo IRS-sponsored training, covering income tax law pertinent to the scope of the VITA program's eligible returns. Successful candidates will excel in a dynamic, fast-paced environment and demonstrate a supportive, professional demeanor when engaging with diverse communities.

Position Responsibilities:

  • Ensure that all volunteers meet the IRS certification requirements relevant to their designated volunteer roles.
  • Oversee the scheduling of VITA volunteers' tasks and maintain accurate records of volunteer hours spent on tax return preparation.
  • Collaborate with United Way Suncoast to attract volunteers for site operations. Provide advance notifications to volunteers to ensure ample staffing for serving clients.
  • Supervise and guide volunteers' activities at the site, ensuring efficient operations.
  • Arrange, set up, and sustain necessary equipment, software, and supplies for tax preparation at the site. Notify the IRS and United Way Suncoast promptly if additional supplies are needed.
  • Open and close the site at the designated times.
  • When necessary, compile taxpayer information and prepare returns or address tax-related inquiries.
  • Execute electronic return filing procedures in accordance with IRS VITA Agreement guidelines.
  • Investigate and rectify any rejection error codes and resubmit corrected returns electronically.
  • Offer support as a Quality Reviewer for tax returns, as required.
  • Perform electronic filing of grouped taxpayer returns at the end of each shift.
  • Fulfill obligatory reporting obligations for the IRS and United Way Suncoast.

Position Qualifications:

  • Demonstrates exceptional organizational and leadership capabilities.
  • Successfully passed the site coordinator exam and VITA tax law exam, achieving advanced certification as a VITA tax preparer for the current year.
  • Participate in scheduled site coordinator orientation and subsequent follow-up meetings.
  • Capable of promptly and accurately addressing taxpayer inquiries pertaining to tax law.
  • Possesses a personable, reliable, and adaptable disposition.
  • Proficient in utilizing and resolving technical issues with computer software utilized for tax preparation tasks.

United Way Suncoast Strategic Plan is to " Break the cycle of generational poverty through educational programs that give children the skills to succeed and help adults achieve long-term financial stability so they can support themselves and their families."

Working together with volunteers, agency partners, community leaders and key stakeholders, the plan focuses on three priority impact areas:
  • Early Literacy - If a child isn’t reading at grade level by 4th grade, s/he is four times more likely to drop out of school.
  • Youth Success - A child who doesn’t graduate from high school earns 75% less than peers who do.
  • Financial Stability - Building financial knowledge and employability skills help create more stable and secure households and communities.

In addition, we will continue funding aligned Support Services (health, food, shelter, etc) to help hard working individuals and families move past immediate crisis that may prevent them from participating in United Way programs that address their long-term needs.

  • Orientation or Training
  • The specific time commitment depend on the number of fellow volunteers and the extent of taxpayer appointments. Typically ranges from 6 to 15 hours per week. The site schedule will be in effect from mid-January to mid-April
  • Previous tax experience is preferred, but not required. Free training is provided. All volunteers must obtain IRS certification and attend orientation sessions with the IRS and United Way Suncoast.
