Job Purpose:

The Treasurer shall have charge and custody of, and be responsible for all funds and securities of Badger Honor Flight.

Duties and Responsibilities:

The duties of the Badger Honor Flight [BHF] Treasurer include:

  • Acceptance & Payment of Funds
    • Shall receive and give receipts of monies due and payable to BHF from any sources including Homecoming Events at the
    • Record, copy and deposit all monies including cash and checks received by BHF, in the name of BHF in banks, trust companies, or other depositories as shall be selected in accordance with the provisions of Article VI of these Bylaws. This includes all online
    • Maintain physical records of all checks, invoices, etc. received by the
    • Payment of all invoices via check or bank card and route to Board Chairperson for second signature as required. Work with Vendors to make online payments where
    • Provide start-up cash for
    • Track receipt of all guardian fees received by flight. Follow up on fees not received. Ensure Honor Apps database is updated with the paid fees. Refund guardian fees as required, including correspondence to document
    • Attend check presentation events as
    • Attend or ensure volunteers are trained to use credit card equipment for purchase of merchandise and guardian
    • Ensure all donors receive Thank You letters for their
    • Advise Board on opportunities to responsibly invest funds, prepare for Board votes as
  • Recordkeeping of Funds
    • Reconcile bank statements
    • Track all BHF issued debit cards and ensure users are following BHF policies and procedures in the debit cards use. Track receipts for all expenses on bank
    • Be fluent in QuickBooks software and maintain software and written check register for accounting of all

  • Monthly/Annual Reporting and Tasks
    • Provide monthly reports to the Board regarding all funds and
    • Perform and/or contract annual audits of all funds and securities as required by the BHF

  • Assist Auditor on tax
  • Renew and pay fees for raffle
  • Submit forms for renewal of annual registration for WDFI Charitable
  • Provide list of memorials at family’s request as

  • Miscellaneous Duties
    • Coordinate minimum twice-weekly mail pick-ups for receipts of checks for prompt deposit
    • Fill out and provide W-9 requests as needed
    • Ensure application for grants are reviewed and completed as needed
    • Attend all regular and special meetings of the Board of Directors, Flight Team and Volunteer meetings as required by the BHF Bylaws
    • Review insurance policies and work with insurance company for changes and/or additional riders for specific events. Keep insurance policy up to date
    • The Treasurer shall perform all duties incident to the office of Treasurer and other duties as may be assigned to him/her by the Chairperson or the Board

The above duties shall be performed by personal effort and/or by delegation and supervision of volunteers.

Working Conditions:

This position currently provides their own phone, laptop computer and printer along with internet access and the ability to store documentation. BHF utilizes Microsoft Office 365 and Adobe Acrobat Reader for daily tasks and communication.

BHF does not have a physical office, so daily support is provided remotely from the Board Member’s personal residence or office location.

Ability to travel on some flights as necessary.

Access to transportation for ability to travel to events, access to BHF storage, and other travel as needed.

This position is a volunteer, unpaid position requiring a 3-year commitment; 2 years as an active Board Member and up to 1 year in a support role to the new Board Member.

Physical Requirements:

This position may be required to assist any Veteran on flight day. This may require him/her to meet the BHF guardian requirements.

Mission Statement

Badger Honor Flight is a regional affiliate of the National Honor Flight Network. The purpose of the Honor Flight Network is to ensure that World War II, Korean War, Vietnam War and terminally ill veterans from any war have the opportunity to see the memorials that have been erected in their honor. Badger Honor Flight provides all amenities to the veterans, including all transportation and meals on the day of the flight. Everything is free to the veterans because of how much they have sacrificed for this great country already.

Badger Honor Flight (BHF) is a regional hub of the Honor Flight Network (r).

Badger Honor Flight is a non-profit organization created solely to honor America’s veterans for all their sacrifices and to transport our heroes to Washington, D.C. to visit and reflect at their memorials. Top priority is given to the senior veterans - World War II survivors, along with those other veterans who may be terminally ill. There are currently 140 hubs in 45 states. BHF is currently accepting and flying World War II, Korean, and Vietnam War-era veterans. To date we have flown 39 flights from Madison, WI to Washington D.C., and just surpassed our 3000th Veteran. BHF is a 100% volunteer-staffed organization.
