The Role:

The Executive Assistant to the Director - Development is the professional representative of the Director-Development.The incumbent will have diverse, complex, and competing responsibilities supporting the Director. In this role, the incumbent is responsible for enhancing the executive's effectiveness by providing information and management support. The incumbent will exercise professionalism, discretion, confidentiality, and prioritization in all responses and communications.

What you will be responsible for...:

  • Proactively manage Director's executive relationships, fostering strong, positive relationships with key stakeholders, tracking consistent follow-up and keeping priorities clear
  • Maintain the Director’s e-mail system, calendar, filing system, and make appointments, coordinate meeting arrangements as required.
  • Prioritize daily, weekly, monthly schedule and agenda of activities in conjunction with the Director and provide gatekeeper role for direct access to him.
  • Ability to interact positively with various levels within the entire organization.
  • Receive, distribute, redirect and respond to mail, email, reports and other material as appropriate and ensure appropriate follow up action is taken where required.
  • Research items of topical interest and prepare reports of findings
  • Plan, coordinate, and attend departmental meetings & functional Executive meetings as requested to record action items and ensure appropriate follow up occurs
  • Provide advice and guidance on policy and operational matters to the VP and Director-Operations
  • Responsible for gathering and maintaining the documents that are necessary to ensure compliance.

  • Associate Degree Completed
  • 6 months to 1-year full time paid corporate/non - profit work experience
  • Advanced working knowledge of MS Office applications (Word, Excel, PowerPoint, Outlook, Visio)
  • Solid communication skills, both verbal and written
  • Demonstrates both tact and ability to respect the confidentiality
  • Ability to multitask effectively in a fast-paced environment
  • Strong attention to detail
  • Strong organizational skills and the ability to be flexible through changing priorities
  • Must be punctual and timely in completing assigned tasks.
