ORGANIZATION: The West End Museum

The West End Museum seeks an energetic and self-motivated Director of Operations and Development, to manage the museum five days a week (40 hours). The Director will ensure the museum is open and staffed during regular visitor hours (Tu-F 12-5pm & Sat 11-4pm) and for all scheduled programs and rentals. The Director will also regularly support all museum programming and exhibits.

The Director will also be responsible for training and maintaining a staff mostly comprised of volunteers. The museum currently has a staff of 40 volunteers, many of whom volunteer for short term periods; some have been volunteers with the museum for over ten years. In addition to managing the staff, the Director will provide support for all museum committees, particularly Marketing & PR. Finally, the Director will collaborate with the President, committee chairs, and Board of Directors on fundraising, budgeting, and revenue development.

The ideal candidate for this position is an experienced business manager who is passionate about urban neighborhood history and the greater West End Community.


Responsibilities:

Administration
  • Manage all museum committees
  • Supervise and train museum staff and contractors
  • Oversee facility management weekly cleaning and systems maintenance
  • Work with the Curator to oversee exhibit maintenance
  • Prepare monthly board reports (administration and committee reports)
  • Direct email list management
  • Manage all Museum insurance policies, renewals and claims
  • Communicate regularly with the West End Place Condominium Association, the Board of Directors, and the President
  • Attend quarterly Board of Directors meetings as needed to present profit and loss statements

Financial Management

  • Oversight of day to day finances with monthly reports to the Board of Directors, as well as quarterly profit and loss statements and an annual financial report
  • Prepare bookkeeping (Quickbooks) for the accountant to file tax returns
  • Prepare an annual budget in consultation with the museum committees
  • Coordinate the annual budget with the Accountant, Board of Directors and Finance Committee
  • Make recommendations to the board to adjust budget, staff priorities & time to meet programmatic objectives
  • Work with Treasurer to file taxes with the IRS
  • Work with Clerk to file organizational documents (annual report, etc.) with State MA
  • Prepare documents for Board Officers to sign when needed

Revenue Development and Fundraising

  • Oversee all museum revenue streams
  • Manage membership, communications and marketing
  • Maintain membership database and manage membership renewals.
  • Raise money; steward donors, write grants and cultivate sponsorships to meet the goals established in the budget
  • Stewardship of sponsors, members and organizational relationships
  • Work with the Advisory Board to develop revenue streams

Marketing and PR (Support)

  • Oversee all aspects of marketing and public relations
  • Collaborate with Marketing and PR to insure the museum is being sufficiently promoted
  • Oversee and manage the museum's website
  • Manage all communications and surveys with members, volunteers, press, and the public
  • Oversee communication and sharing through social media, Constant Contact emails, monthly e-news letters and quarterly newsletters
  • Identify and target various audiences, and develop marketing promotional materials to key constituencies
  • Organize and manage and supervise all press and media relations, and promote all museum events directly to area businesses, organizations, and residents

Community Engagement (Support)

  • Represent the museum at community events and coordinate with other area organizations and public representatives
  • Work with various stakeholders, both public and private, on advocacy efforts at city, state and national levels
  • Be an ambassador in the immediate and greater community

Programs and Exhibits (Support)

  • Work with the Program Director to establish annual calendar of programs and events
  • Work with the Program Committee to staff all events
  • Work with the Curator to evaluate long term and revolving exhibits, as well as off-site exhibits

Required Skills:

  • Demonstrated experience in nonprofit management and financial management (particularity fundraising and budgeting)
  • An understanding of Office software (MicroSoft Office suite, Quickbooks, Google Drive, etc.) and organizational tools (such as Constant Contact, Wordpress, Dropbox, PastPerfect, etc.)
  • Experience with Marketing and PR
  • Public Speaking

Salary:

The Director of Operations and Management is a contract position subject to quarterly reviews, with a base salary of $42,000 annually.

There will be bonus incentives based on the annual budget, grants, and revenue levels.

About the West End Museum:

We are a Boston neighborhood museum seeking volunteers interested in the history and culture of the City of Boston, its immigrant era, and urban renewal. The Museum is a 501(c)3 charitable non-profit organization dedicated to the collection, preservation, and interpretation of the history and culture of the West End of Boston.

You can expect to find a casual workplace of friendly Volunteers and Staff who are welcoming and eager to engage with the public. A previous knowledge of the neighborhood is not required, but an appreciation of its historical significance is helpful.

The Museum is conveniently located close to the MBTA Science Park/West End Station and North Station. Bowdoin Station is about a 10-minute walk.
