Job Description

The Events Lead will report directly to the Events Manager and will plan, organize and implement all events for The Cupcake Girls. S/he will assist with the coordination of all events, including, but not limited to: donor and volunteer recognition events, fundraisers, and special events for clients. S/he will be engaged in the implementation of events from start to finish.


Principal Responsibilities (lead a team to...)
  1. Create timelines to achieve a quality event, anticipate event needs and discern priorities.
  2. Manage the administrative duties and logistics for each event. Prepare materials for events (name tags, registration lists, seating charts, etc.).
  3. Act as the on-site producer for the events.
  4. Work with teams to clean up at every event and ensure all materials are put away in the appropriate place in the office.
  5. Collaborate with the Volunteer Lead to solicit help needed to staff events.
  6. Provide detailed direction to volunteers for events, including a timeline, and regular reminders utilizing Podio.
  7. Work with the appropriate Leads to ensure all donors, volunteers, and clients have been invited, as appropriate.
  8. Coordinate with other events Leads to inventory all event supplies and ensure items are organized.
  9. Commit to 5 hours per week of concentrated work in your role.
  10. Log office hours and track team office hours in Podio.
  11. Connect with events team members regularly via Podio and team meetings.
  12. Connect with new volunteers for coffee within a week of them joining the team.
  13. Follow volunteer manual and live out volunteer management guide.
  14. Attend scheduled Lead meetings.
  15. Fill out Weekly Lead Check-in form each week.
  16. Lead a Fundraising team.
  17. Connect biweekly with the Events Lead in your sister city.
