Thank you for your interest in helping volunteer at our annual Groove Gala presented by TitleSmart!
This is our biggest event each year and we appreciate all the help we can get.
A following description of what types of volunteering positions are available along with the time slots are listed below (there is flexibility of shifts, Spare Key is more than accommodating to work with volunteers):
- Registration
Key Responsibilities: Welcome guests as they arrive to the event at the registration table. You will be looking them up in Bidpal, swiping their credit card, giving them their registration materials packet, and informing them about the exciting events happening throughout the night.
Helpful Characteristics: Computer literate, friendly and energetic, multi-tasker, on the spot problem solver.
Time: Saturday, 22nd (3pm-7:30pm)
- Registration Assistant
Key Responsibilities: Assist the registration volunteers by retrieving guests’ registration materials. Serve as the main source for helping the registration table. Provide guests with general information about the exciting events happening throughout the night.
Helpful Characteristics: Computer literate, friendly, willing to take direction, multi-tasker, on the spot problem solver.
Time: Saturday, 22nd (3pm-7pm)
- Event Floater
Key Responsibilities: Helps guests navigate the evening. Answering any event questions as well as directing guests throughout the evening when "Calls to Action" are announced. Ranges from finding specifics to helping with drink tickets. Help fill in certain areas if more volunteers are needed.
Helpful Characteristics: Friendly and energetic, self-motivated, welcoming and personable who is able to answer any questions guests may have.
Time: Saturday, 22nd (3pm-7pm)
- VIP Manager
Key Responsibilities: Helps VIP guests navigate the evening. Answering any event questions as well as directing guests throughout the evening when "Calls to Action" are announced. Ranges from finding specifics to helping with drink tickets. Help fill in if certain areas are needed for more volunteers.
Helpful Characteristics: Friendly and energetic, self-motivated, welcoming and personable who is able to answer any questions guests may have, on the spot problem solver.
Time: Saturday, 22nd (3pm-7pm)
- Coat Check
Key Responsibilities: Take guests coats and provide them with their corresponding coat number.
Helpful Characteristics: Friendly, welcoming and personable who is able to answer any questions guests may have.
Time: Saturday, 22nd (3:30pm-7pm) (8pm-11pm)
- Silent Auction Assistant/Breakdown
Key Responsibilities: Be present in the silent auction area and answer questions on how guests can bid on items. Help guests get to the website/program on their mobile devices so they are able to bid on the items. Making sure all the silent auction items stay in the area until the breakdown. Responsible for moving the silent auction items over to the checkout once the silent auction closes during the program. Clean-up/Breakdown the tables that the items are on and set aside items that have not been bid on.
Helpful Characteristics: Computer literate, helpful and personable who is able to answer questions guests may have, friendly and outgoing, on the spot problem solver, multitasker, and extremely organized.
Time: Saturday, 22nd (3:30pm-7pm) (7:45pm-9pm)
- Game Host
Key Responsibilities: Assist guests as they play the game you are assigned to. Each game will have specific instructions on how guests redeem their prizes, how to play the game, and what guests can win.
Helpful Characteristics: Computer literate, outgoing personality with high energy, salesman skills, friendly and welcoming to guests, detail oriented. MUST BE 21+.
Time: Saturday, 22nd (3pm-7pm)
- Program Assistant
Key Responsibilities: Throughout the program, numerous instances where volunteers are needed will arise. Some of the tasks include writing down bidder numbers on guests who win live auction items or other game winners, help assist guests in utilizing the donation platform, be loud and have high energetic enthusiasm to keep the party environment.
Helpful Characteristics: Computer literate, outgoing personality with high energy, fast paced, legible handwriting, detail oriented, friendly and helpful.
Time: Saturday, 22nd (7:45pm-9pm)
- Check-Out
Key Responsibilities: Once the program concludes, guests will be able to pick up their silent auction items and game prizes won throughout the night. Here you will run guests credit cards and retrieve any of the items they have won. Answer any final questions guests may have.
Helpful Characteristics: Computer literate, great customer service, friendly and helpful, able to multi-task, pay close attention to detail.
Time: Saturday, 22nd (8pm-11pm)
- Check-Out Assistant
Key Responsibilities: Once the program concludes, assist the check-out volunteer by retrieving the items guests have won throughout the night.
Helpful Characteristics: Computer literate, great customer service, friendly and helpful, able to multi-task, pay close attention to detail, willing to take direction.
Time: Saturday, 22nd (8pm-11pm)
