1: Vet Team Appointment Coordinator

Vetting Team

Team Description: This team sets regular vetting appointments with Angels affiliated vets for Angels foster dogs and responds to emails from fostering asking questions.

Position Title: Vet Team Appointment Coordinator

Position Description: Answer emails from fosters about their foster dogs vetting. Follow vetting protocols to determine need for appointment. Make calls to vets to schedule appointments and confirm appt with fosters via email. Send records to vets for scheduled appointments. Record appointments in database. Research vet records for foster or adopters seeking basic information (shot due dates, HW status, etc.). Escalate tough questions etc. to Vetting Director, Vet Case Manager or other vetting team leads such as Pharmacy, Heartworm, and Spay/Neuter

Qualifications for Position: Must have phone and internet access. Need to be computer-savvy. Must be able to access and use Facebook, Internet for Cloud based database (iShelters), Gmail and Google sheets and documents. Must be able to use word or another office system and copy and paste templates into emails and add attachments to emails. Must be detail-oriented, and organized and dependable. Need to be able to convert documents to a single PDF - so it can be uploaded to iShelters database. (there are free options available). Must be organized and dependable. Excellent communication skills, both written and spoken. Must be good at handling emails and calm under pressure. Looking for Team players - willing to pitch in and help. Knows when to ask questions, Sense of humor helps.

Availability needed: Must be able to commit to at least one 5 hour shift a week, prefer volunteers that can take at a minimum of two ½ day shifts which can be different days. During their shift’s volunteers must be able to respond to all emails during shift in an hour or less during shift, even if just to say, let me check and get back to you. Volunteers should be comfortable working a variation of days, Shifts are 8am to -1pm EST or 1pm -6pm EST Monday through Friday. One shift Saturday and Sunday from 9am - 4pm EST. Schedules can vary week to week based on volunteer availability. Vet team members are encouraged to help each other and trade shifts if needed.

2. Spay/Neuter Team Coordinator

Team Description: Schedules spay/neuter appointments with vets in our approved network when requested by fosters and adopters, including any vetting to be done at the same time as surgery (dental, etc.). Coordinates with Vetting Team on complex cases. Follows up with fosters and adopters by sending reminders when needed.

Position Title:Spay/Neuter Team Coordinator

Position Description: This position involves answering emails from adopters and fosters that come in between midnight and 2pm (first shift) or 2pm and midnight (second shift) and responding within 24 hours on assigned day(s). Volunteers set up vetting appointments as needed, record notes for each animal in our iShelters database, email the adopters/fosters with the appointment details, and answer adopters/fosters with spay/neuter questions
Qualifications for Position: Must be organized and dependable. Excellent communication skills, both written and spoken. Phone/Computer and Internet access needed. Need to be to be able to access Facebook, Internet for Cloud based database (iShelters), must be able to access Google sheets and documents and Gmail.

Availability needed: This would require checking the emails received between for assigned day and responding within 24 hours. From the time an e-mail comes to getting the dog scheduled can take 2-3 days with emails back and forth between fosters and vet offices. Volunteers are responsible for handling the emails from start to finish.

3. Heartworm Team Coordinator

Team Description. Case managers handles all vetting for all HW+ AAUPR dogs. CMs work with fosters and adopters and vet offices. Coordinates with Vetting Team on complex cases.

Position Title- HW Team Coordinator

Position Description: Volunteers are assigned to HW+ dogs and handle everything (paperwork, phone calls, emails, vets, fosters, etc.) to get the animal through treatment. Coordinators handle all the vetting for HW+ dogs. Handle all surgery for HW+ dogs including spay/neuter, dental, orthopedics. Educate/instruct fosters about heartworms and treating the dogs with heartworms. Make decisions about which vet, whether to spay/neuter first, etc.; Work with transport team when necessary for helping to get dogs to/from vet. Keep up with where each dog is in their treatment process and contact fosters plenty of time in advance to schedule appointments. Coordinators are responsible for sending dog's vet records to new vets. Volunteers remind fosters about appointments, and making sure dogs are taking necessary meds. Coordinators keep the vet team updated on HW+ dogs.

Qualifications: Must be organized and dependable. Excellent communication skills, both written and spoken. Phone/Computer and Internet access needed. Need to be to be able to access Facebook, Internet for Cloud based database (iShelters), must be able to access Google sheets and documents and Gmail. Must be able to speak with vet offices and anxious fosters. Should be familiar with or at least some knowledge of Heartworm medicines, HW Treatment processes, and AAUPR policies. The more knowledge the better but you will be trained on how AAUPR handles.

Availability needed: TBD depends on availability and how many dogs volunteer feels comfortable handling in their case load.
