Administrative/Financial Assistant

Job Description

The Financial Assistant performs a variety of administrative and financial support duties and is supervised by the Director of Marketing/Administration.

Job Duties:

Prepares checks for payments per the instructions of the Director of Marketing/Administration for signature by the Executive Director.

Coordinates the preparation of the bi-weekly payroll payment for submission to the supervisor.

Procures supplies and services from local and national vendors as directed by the supervisor.

Assists with grant application preparation. Maintains an annual calendar of grant renewal submission dates, quarterly report due dates, and final report due dates.

Prepares billings for contract service reimbursements. Monitors the actual payments of the service invoices and continues to contact individuals or organizations until payments are made.

Assists with designated financial functions at the Annual Gala.

Assists with collections of donations and sales at organization events.

Prepares license and permit renewal documents under the direction of the supervisor.

Assists with the administration of the Petty Cash Fund.

Assists with the distribution and utilization of organization credit cards for authorized purchases by staff members and interns.

Prepares deposit tickets for cash and checks in accordance with the deposit schedule.

Prepares and mails letters of appreciation to recognize donations from individuals and organizations.

Performs other related administrative and financial support duties as assigned by the Director of Marketing/Administration and/or the Executive Director.

This is a volunteer position.

Skills and Qualifications:

Is proficient in the use of Microsoft Word, Excel and PowerPoint applications.

Is proficient in the use of the Internet for research and business applications.

Has a working knowledge of office procedures and office machines.

Has a working knowledge of basic bookkeeping and financial procedures.

Is well-organized, detail-oriented, and able to meet deadlines for all assigned tasks.

Is comfortable working with a diverse management team, staff members, and volunteers.

Description

Serving all of greater Hampton Roads, Virginia, we have created a community within our organization that helps to build self esteem and supports youth so they can grow up into competent, healthy people and develop to their fullest potential. TWP peer leaders are first trained to facilatate community events; monthly open mics and community activist and volunteerism. Next, they decide, based on their time in with the organization and their personal talents and interest which area of youth development they want to focus on. Music, Spoken Word, Drama, Dance, Operations and Administration. Then they work with our youth advisory board to execute current programs and deliver new innovative ways to promote positive growth for youth. Our work takes us to schools, churchers, group homes, public community events and national events as well. Youth peer facilitators receive incentives such as cultural outings, tee shirts and back packs; they are invited to attend monathly group sessions and there are weekly training and prepartion meetings held in Norfolk and Virginia Beach
