ORGANIZATION: Armed Services YMCA San Diego

The 17th Annual May Ride and After Party (www.mayride.com) for our troops and their families is being held Saturday May 16th, 2020 (Armed Forces Day).

- More than 500 riders and 5,000 attendees
- After Party Starts at Noon
- Free After Party: Stunt Bike Shows, Live music, 80 vendors, a free kids zone, food, BMX stunts, poker run prize, chapter/club challenge, wrestling, car & bike show, new surprises and so much more.

There are multiple assignments and multiple shifts throughout the day. Please sign up for only one assignment per time slot. If you do not see your desired assignment/shift listed on our registration form, that means that we're fully staffed for that assignment/shift.

Volunteers are needed in the following roles and shifts:

BOOTH WORKERS

Booth volunteers will be assigned to assist as needed in one of the May Ride related booths/areas (Raffle, Merchandise, Kids Area, Car Show Registration). Each of these areas will always have at least one May Ride Staff member present to supervise. Also, these positions are much less physical than the others in that they are restricted to a booth or limited coverage area and are able to sit down and rest as needed. Shifts are:

8 AM - 11 AM
11 AM - 2 PM
2 PM - 4 PM

FLOATERS:

The day of the event is very fluid and needs come and go all day long. There are some miscellaneous duties that need coverage that may only be of short duration, i.e. crowd control during the motorcycle stunt show, and those that will be longer, i.e. assisting in the raffle or merchandising booths. For each of these duties, as they come and go, volunteers/runners will be assigned to a LEAD from the May Ride Staff that is overseeing that particular area of the event. Shifts are:

8 AM - 11 AM
11 AM - 2 PM
2 PM - 4 PM

ROCK CLIMBING WALL:

Volunteers will be trained to supervise event participants using our portable rock climbing wall. Volunteers will assist participants with harnesses; belay safety ropes; and enforce safety rules. Shifts are:

12 PM - 2 PM
2 PM - 4 PM

SECURITY:

We need two teams of two people to act as roaming "security". There are two primary tasks for the security volunteers to focus on. The first is roaming the parking lots and observing. Over the years, we have had a few occurrences of cars getting broken into during the event. Our hope this year is that having "security" roaming the parking lots will deter would be burglars. We do not expect the volunteers to confront any bad actors, just be visible as a deterrent, and then report any suspicious activity to May Ride Staff. The second task is to monitor the parking lots to make sure that people are parking only where they should. The event shares parking lots with businesses that are open and we need to control where our attendees park. If our security sees someone park where they shouldn’t, they should warn that person about the parking restrictions and the possibility of a tow. Each security team will have a 2way radio to communicate with May Ride Staff. Shifts are:

8 AM - 11 AM
11 AM - 2 PM
2 PM - 4 PM

STAGE ASSISTANT:

The stage assistants will be assigned to the main sound stage to assist the stage manager throughout the day. They may be asked to help setup or tear down sound equipment, help bands transport gear to and from the parking lot, run to retrieve extension cords or other necessary gear, etc. As the raffle and auction items are also announced from the stage, the assistants may be asked to run to retrieve items or hold them up while the auctioneer is speaking. Shifts are:

6 AM - 8 AM
8 AM - 10 AM
10 AM - 12 PM
12 PM - 2 PM
2 PM - 4 PM

TEAR DOWN:

We need a team of people for up to 2 hours after the event ends to help teardown and cleanup the venue. These people may be asked to help vendors cleanup and load their gear, to consolidate the fence barricades into a central collection area, or to walk the venue picking up trash, etc. Shift is:

4 PM - 6 PM

TRAFFIC CONTROL:

The job of each Traffic Control position is directing vehicular traffic flow. Each volunteer will be placed at some access point, either a gate to the event or specific area of the event, or maybe the entry to a parking lot, etc. and his/her job will be to manage who gets in and out of that area. These positions are at far ends of the venue so unfortunately, they force people to be isolated for extended periods. There will be at least one roaming LEAD person from the May Ride Staff on hand to see to the needs of the traffic control volunteers and answer any questions or resolve any disputes that may arise. If available, each control location will have a 2way radio to communicate with the Lead.

Shifts are:

6 AM - 8 AM
8 AM - 11 AM
11 AM - 2 PM
2 PM - 4 PM

MOTORCYCLE PARKING LOT:

A small team of people is needed to manage the motorcycle parking lot. Imagine the parking coordinators at events like the San Diego Fair or Sea World, etc. We have a large number of motorcycles that arrive and parking can get a little tight so we need people to direct each rider as they come in to the lot and point them to their parking space, making sure everyone parks safely and in a lined up, orderly fashion to best utilize our limited parking area. Individual volunteers may be placed with a team or if a group of volunteers wants to stay together we can put them in the parking lot as a unit. There will be a LEAD person from the May Ride Staff on hand to oversee this team of volunteers.

Shifts are:

6 AM - 8 AM
8 AM - 11 AM
11 AM - 2 PM
2 PM - 4 PM

VENDOR RUNNERS:

The vendor runners will be assisting the Vendor Coordinator throughout the day. During the morning roll-in, each vendor will check in and be assigned a space number and a runner may be assigned to walk them to their space to ensure they go the right spot and to point out to the vendor the boundaries of that spot. The runners may also be asked to complete miscellaneous tasks as needed by the Vendor Coordinator such as running an extension cord out to a vendor or helping put up signage, etc. The bulk of these responsibilities are in the morning starting as early as 6am and then they die out as the event really gets rolling at around 10am or so. At this point, vendor runners that are still willing to help out may be tasked elsewhere. Shifts are:

6 AM - 8 AM
8 AM - 10 AM
