Role Summary: Perform a variety of operational support tasks at Circles Weekly meetings and events and provide exceptional service to members and guests of the Circles community.

Essential Functions:

All Meeting and Event Volunteers are expected to:

  1. Communicate with and follow instruction from Circles Staff and/or the Community Team Chair for each assigned event
  2. Become familiar with the facility to provide information needed to assist guests
  3. Support other team members at each event

The following subteams fall under the Community Team:

  • Hospitality Committee
    • Greeters / Guest Representatives (1-2 volunteers)
      • Welcome Circles community members and guests as they arrive
      • Professionally assist guests with seating and escort guest speakers, facilitators, and/or presenters to meeting space and event locations
      • Provide exceptional service to Circles members and event guests
      • Conduct on-site registration by having Circles community members and guests sign in and fill out name tags
      • Prepare and/or distribute materials to Circles community members and guests, as needed
      • Provide sign-in sheets and/or attendance reports to the Community Team Chair as directed
  • Meeting Hosts (2-4 volunteers)
    • Start Circles Meeting promptly by welcoming attendees, making announcements, sharing the agenda for the evening, identifying special guests, giving directives and/or providing housekeeping and ground rules, as needed
    • Lead and/or identify volunteers to lead New and Goods and Appreciations
    • Keep track of time and notify facilitators when time to wrap up to ensure timely dismissal, as needed

Set-Up & Break Down Committee (4-6 volunteers)
  • Set Up
    • Assist with setting up dinner space, sign-in tables, food/drink serving tables, sitting tables and chairs, classrooms, meeting/event spaces, etc.
    • Work to ensure event/room set-ups are completed accurately, safely, efficiently and timely
    • Set-up of audio/visual equipment such as projectors, screens and portable sound systems, as needed
    • Troubleshoot A/V connection issues as needed
  • Break-Down / Clean Up
    • Break-down of audio/visual equipment such as projectors, screens and portable sound systems, as needed
    • Clean after events when needed, which includes wiping down equipment and putting away chairs and tables
    • Ensure equipment and furniture are returned to their proper location

Meal Servers (5-8 volunteers recommended)
  • Create an enjoyable dining experience by serving Circles community members and guests promptly, courteously, and in an orderly manner
  • Set up proper table settings, placement of flatware, glasses, napkins, condiment dishes, and centerpieces, as needed
  • Ensure condiments are available
  • Follow sanitation and safe food handling guidelines at all times
  • Notify Community Team Coordinator/Circles Kitchen staff member of any needed supplies.

Circles has been active in Indianapolis since 2010 and is active in more than 70 communities across North America. Circles is helping to inspire and equip communities to reduce poverty and remove the barriers that stand in the way. We want to cut the poverty rate by 10% - enough of a change to tip the scale toward a prosperous and strong community.

Description

Previously sponsored by The Julian Center up through 2015, BRiCKs Alliance, Inc. now sponsors the Circles Indianapolis chapter of Circles USA as a successful example of a relationship-based movement that is working toward ending poverty. Circles works by harnessing the power of community through new volunteering approaches that focus on building social connectedness across diverse groups.

BRiCKs was founded in 2016 with the belief that Building Relationships in Community is Key for systemic change and sustainable development...because we are better together. By building relationships in community, we believe we can achieve the UN Sustainable Development Goal #1: No Poverty (www.un.org/sustainabledevelopment).

In the Circles model, people working to overcome poverty in their own lives are matched with middle- and upper-income cross-community friends who support them in their plan to become self-sufficient. At weekly community meetings, Circles helps to build social capital and a community that supports each other along with other educational offerings. We remove barriers for participation in our weekly meetings by providing a meal and childcare at no cost.
