Assist the Head Start - Health Services team assist families with children age 0 to 5. The volunteer may perform aspects of administrative support including, scheduling, copying, filing, recording meeting minutes, answering phones, customer service, word processing, data entry, and other tasks as needed.

Task Supervisor: Head Start - Health Services Administrative Assistant II

Position Objectives:

Provide administrative, communications and clerical support;

Organize and maintain files and reports;

Protect operations by keeping information confidential and following HIPPA;

Record, transcribe and distribute meeting/events minutes/reports;

Accurately enter information into database;

Prepare, type, and proofread documents as requested;

Perform other duties as assigned.

Qualifications:

Possess or pursuing an associate’s degree in an administrative support/related-field OR at least three months of experience in an administrative support role such as customer service, office assistant, OR an equivalent combination of education and experience;

Experience with non-profit agencies and social service resources preferred;

Possess strong English language communication skills, both verbal and written, and the ability to work with confidential documents;

Ability to accurately type a minimum of 30 words per minute;

Must be proficient in Microsoft Office Suite (Word, Excel), email, and internet use;

Knowledge of desktop publishing, spreadsheets, and mail merges preferred;

Be able to complete assignments with minimal supervision;

Self-starter and work independently while being a member of the administrative team.

Ability to effectively relate and communicate to people of varying multi-ethnic and socio-economic backgrounds;

Bilingual in Spanish, Hmong, Somali, or Karen (desired, not required);

Possess a high school diploma/GED/equivalent; Pass a background check and age 18+

Physical Requirements: Normal office exertion required.

Cognitive Requirements: This position requires an awareness of deadlines, the ability to handle and prioritize multiple tasks, and the ability to function independently.

Time Commitment: 4+ hours per week for summer-term or semester, 8+ hours is preferred. Responsible to turn in timesheet on a monthly basis.
