Data Reporting & Case Worker Liaison

Data Reporting involves ensuring that the statewide database of referrals (kept in Salesforce, for instance) reflects the status of projects that we do in Travis County. When a project ramp is built, the database needs to be updated with the fact that the ramp is built and record the "build statistics". These are the names of the project lead and the volunteer group, the size of the volunteer group, the length of the ramp, and the number of volunteer hours spent. When the ramp is later painted, the database needs to be updated with information about the painting group. Also, an email needs to be sent to the leader of the volunteer group thanking them for their service and passing along any project photos. Another email to the referring case worker needs to be sent documenting the completion of the project and thanking the case worker for the referral. Similar communication is needed when we decide not to address a referral (client declines, TRP declines, can't get approvals, etc.).

The Case Worker Liaison is a point of contact for inquiries about referrals. These usually come from case workers but sometimes directly from clients. Usually, they are interested in how long the wait is to get their referral addressed. The standard response is that we don't know, but we can quote how long recent projects waited until we got to them. We would establish an email address to monitor and perhaps a Google Voice phone number that would route to this person's phone.
