Volunteer Program
Volunteers are integral to helping things run smoothly at our nonprofit. As a new volunteer, you’ll bring a new perspective to our local surroundings, engaging in social and cultural exchange with our employees, volunteers and community. We aim to provide our team with a rewarding & collaborative work environment, while creating the most amazing employee & volunteer experience in the nonprofit education field! We want to build cutting edge programs that invest and drive passionate employee engagement, so everyone has the tools, information and motivation to do their best work. And we have a lot of work to do!

Role Summary
The Office Coordinator will assist the management team with various functions, including office day-to-day operations, data entry, supplies orders, admin support, email/phone communication with staff, teachers and parents; recruitment of other volunteers, as well as provide support to all departments within the organization.

Hours: 10 to 20 hours per week, Monday-Thursday (any time between 10am-4:30pm)

Responsibilities

  • Ensure that all projects under your management are delivered on-time
  • Develop documents and forms to be shared with team members
  • Proofread/Revise existing documents
  • Office tasks might include data entry, phone calls, team meetings, etc
  • Digitize files
  • Create, label and organize new digital files in EFBA G-drive
  • Organize tasks, set priorities and enforce deadlines
  • Maintain all files and data entry properly filed
  • Develop spreadsheets and reports if/when needed
  • Perform other related duties as assigned
  • Read, understand and abide by EFBA volunteer handbook
  • Stay current with best practices and industry standards
  • Develop, recommend and update policies and procedures
  • Offer occasional support to the Marketing team, which may include drafting and publishing posts on EFBA’s Facebook and LinkedIn
  • Contribute and provide support to the smooth and professional operation of the organization, attending to miscellaneous administrative tasks as necessary and assisting colleagues from other departments with their tasks where possible. Assist in providing your knowledge to improve the efficiency within the office
  • Always keep EFBA’s best interest in mind
  • Inventory order/maintenance using company Amazon account (and other providers)

*This position may perform all or some of the responsibilities above and all positions perform other related duties as assigned, such as supporting other teams with various administrative tasks.

Required Qualifications

  • Outstanding attention to detail, thoroughness, and organizational skills,
  • Administrative/business writing & verbal communication skills,
  • Basic technology literacy, including the ability to use a variety of softwares
  • Ability to clearly and effectively record and report data
  • Previous experience with cultural exchange and/or language education
  • Ability to understand and interpret rules, regulations, and policies
  • Ability to perform under minimum supervision
  • Ability to multitask different projects at one given time
  • Ability to work well with a team
  • Discretion when dealing with sensitive information

Special demands

All positions at EFBA may require heavy lifting, prolonged standing, or travel. All EFBA team members are expected to assist other departments if needed. You are expected to be a team player and work collaboratively with your peers, manager and other departments within EFBA.

Location of service

This position requires reporting to EFBA’s main office at "The French Class" at our Union Square address at 500 Sutter St. Remote work is not available for most administrative roles. Opportunity for remote projects or training might be granted in special circumstances, if pre-approved by supervisor.

Stipend: This is an unpaid position. EFBA can provide you with a clipper card value for round trip muni transportation for the mandatory 2 days per week visit to the office at One Embarcadero Center. Office lunch stipend provided on days you’re asked to work 5 hours or more from the office. Our office is equipped with coffee and snacks

Note: Our nonprofit serves children in the community, but please keep in mind that this is role is based in the office, assisting with operations. This means you will not be in the field and will not be working directly with children. Mission Statement

Education Française Bay Area was created in 2009 by Gabrielle DURANA to give access to all children to a bilingual education, in our case French. We are a WASC accredited part-time school. Our non profit organization offers high quality yet affordable French after schools, summer camps and cultural programs to both francophone and French as a Second Language children, aged 5-18. The classes take place in local schools of the Bay Area. Our mission statement is simple: to provide a bilingual, multicultural francophone education, opening doors and minds to the world.
