Committee Member Expectations

2019 Celebrating Independence Gala

Are you looking to share your skills and positively influence others to make a difference in your community? The CIL is looking for volunteers with excellent leadership, management, motivation, negotiation & communication skills to join our 4 th Annual Celebrating Independence Gala Committee. An evening filled with CIL’s mission a cocktail hour, dinner, silent auction, and awarding the Beverly Chapman Legacy Award.

Key Responsibilities:

  • Work closely with event chair and CIL staff to implement action plan/timeline and reach event goal of $40,000 and 125 attendees
  • Collaborate with CIL staff to identify potential event/table sponsors, ticket sales, silent & live auction items, in kind donations and revenue enhancers
  • Promote CIL’s Celebrating Independence Gala in the community through presentations, meetings with high-level contacts and potential sponsors/donors/volunteers
  • Attend the Gala to be a representative of CIL and network during the event.
  • Identify potential leadership volunteers to ensure growth of Gala Committee for following year

Training and Support:

  • Monthly planning calls with event chair and CIL staff
  • Additional Planning session(s) with CIL staff to develop plan of action and ensure committee goals
  • Past event information and budget CIL’s programs/services information
  • Meetings with staff partner (via phone or in person) to address any questions or concerns and to identify areas of greatest need

Qualifications:

  • Leadership, management, motivation, negotiation & communication skills
  • Ability to work independently with little supervision as well as on a team
  • Prior project or event management experience a plus, Internet and email access

Time Commitment:

  • October 2018- June 2019

Event Chair

  • Be a driving force in the success of the event
  • The Chair(s) leads every step of the way, helping to recruit committee
  • Monitors the progress of subcommittees to ensure the Gala is progressing as planned
  • Facilitates all committee meetings in collaboration with development staff members

Sponsorship Chair

  • Help raise the critical funds to support the programs necessary to accomplish that goal of equality
  • Build a list of sponsor and vendor prospects with CIL staff
  • Leads introductions and meetings with potential sponsors and vendors with CIL staff
  • Ensures all sponsors are thanked in the appropriate manner

Table Chair

  • Serves as the volunteer point of contact for table captains
  • Connects CIL staff with potential table sponsors
  • Relays information to table captains regarding the event
  • Ensures all are thanked in the appropriate manner

Auction Chair

  • Leads the solicitation and procurement of auction items
  • Delegates the pick-up times for the auction items
  • Groups auction items into packages
  • Arranges the auction items on event site to increase marketability and allure of packages
  • Ensures all donors are thanked in the appropriate manner

Key Raffle Chair

  • Promotes the Key Raffle and the sale of keys prior to and after the event
  • Coordinates the solicitation and procurement of the Key Raffle prize
  • Ensures all donors are thanked in the appropriate manner
