Housing Director Committee Member
Summerfest International Art and Folk Festival is searching for a new housing director committee member. Summerfest is currently preparing for its 32nd year. This wonderful community event is made possible by our board, staff and wonderful volunteers. BDAC’s Summerfest Committee is comprised of volunteers who use their unique knowledge and skills to help run this event.
Commitment
Attend monthly meetings. Usually, first Tuesday of each month. Attend weekly meetings leading up to the festival. Attend the festival Friday, June 28, 2019 and Saturday, June 29, 2019. Write a post event review of the festival and attend the Post Event Party.
A commitment of 2 festivals is desired. Outgoing committee members move into an advisory position as consultants for a year after their second year. Shorter terms may be considered for special accommodations such as school or internships.
Responsibilities
The Summerfest Housing Director is asked to help find solid, stable and committed host families for the performers who will be participating in the festival. The housing director will be under the jurisdiction of the Summerfest Coordinator.
- The Housing Director is approved by the Summerfest Coordinator.
- The Housing Director will add additional committee members according to the needs and circumstances of the Housing director. (The housing committee will then consist of the director and volunteers who agree to help.)
- The Housing Director and committee are responsible to find host families for Summerfest guests.
- The Housing Director will work along-side Summerfest Coordinator to help make communications with group directors smoother and expedite better communications between housing committee and host families.
- The Housing Director will act as a liaison between Summerfest Coordinator and housing committee
- The Housing Director and housing committee will work with each individual host family for orientation training in their homes. This will include new host families as well as tenured families.
- The Housing Director and housing committee will make up host family packets to be presented to each host family upon the orientation and training visit. The Housing Director will work with the Summerfest Coordinator in obtaining specific scheduling and other information host families will need to be placed in the packets
- The Housing Director will attend all Summerfest Committee meetings as part of a Summerfest planning committee member. In the event the Director cannot make the meeting, a housing committee member will be asked to attend. It will be at these meetings that a progress report will be given to the committee
- The Housing Director has the responsibility to work with the group directors and their groups during their stay for the festival. The housing director will meet at least once daily with each director. This helps in taking care of little problems before they become big ones.
- Both Director and committee will work together to resolve problems regarding host families and their guests. In the event of a serious problems, the Housing Director will inform the Summerfest Coordinator with solutions to the problem.
- The Housing Director and housing committee together have final jurisdiction to make decisions regarding guests in host families homes based on problems caused by guests attitudes and actions. The director and committee will then inform the Summerfest Coordinator and apprise him/her of the situation and discuss decisions with the host leader of the respective group.
- Any problems with host families and /or guests will be directed to the Housing Committee. Any and all problems and how they solved will remain within the committee, the Coordinator and the respective group. If there are just one or two individuals involved, then the problem and its details will remain within the committee, coordinator, the director and the individual(s) and the host family. It will be up to the individual directors if the other group members need to know about the problem. This eliminates gossip between other host families and groups which may lead to other problems.
- The Housing Director and, if able, the housing committee will be at the place(s) of arrival to meet and welcome guests. The same applies to being at the places of departure to ensure smooth check-ins and farewells.
- The Housing Director and housing committee will meet as often as needed but no less than twice a month to coordinate with each other on progress being made.
- The Housing Director is responsible to work with directors and host leaders in ensuring performers are able to be where they need to be at the appointed times set by the directors.
- It is the responsibility of the Housing Director, and where possible the committee, at the end of each event/performance to make sure all the performers have a way back to their host families. The Housing Director will remain at the place of event/performance until the last performer has left. It is imperative that the Housing Director and committee have all contact information with them or close at hand at all times in case of emergencies.
- Upon completion of Summerfest, the housing director and committee will send out evaluations with notes of thank you card to each host family. They in turn will hold their own evaluation meeting.
- The Housing Director and Summerfest Coordinator will hold an evaluation meeting at the conclusion of the Summerfest.
