The Program Coordinator will provide administrative and clerical support related tot he day-to-day operations of the organization.
Duties and Responsibilities:
o Order and maintain inventory of office supplies o Maintain the off-site storage space o Responsible for incoming and outgoing mail o Responsible for fax/copy needs
o Answer telephone, provide information to callers; forward messages to staff via email when necessary
o Send emails and/or respond to emails at the direction of Executive Management
o Coordinate birthday acknowledgements for volunteers and clients o Advise appropriate staff of meetings, teleconferences, and events o Maintain organizational files, calendars, and schedules o Coordinate meetings and conferences
o Edit and prepare newsletters, letters, brochures, proposals, and basic reports
o Research information o Prepare handbooks, proposals and training materials. o Pursue grants, sponsorships, donations and partnerships o Coordinate special events and meetings
o Maintain the staff and client directories (phone lists and email addresses)
o Address staff and client inquiries as related to organization events, calendar items, and provide contact information for other staff to contact fellow employees.
o Screen volunteers; conduct new volunteer orientation o Staff events with appropriate number of volunteers o Volunteer recognition
o Collaborate with program leaders to deliver quality programs and services
o Conduct research to design, enhance and develop program curriculum
o Initiate contact with potential sponsors and obtain sponsorships and donations to support program
o Program correspondence and materials o Ensure proper program reports are received in a timely manner o Advise appropriate staff of meetings, teleconferences, and
correspondence/notices o Reserve meeting facilities
Finance Operations Support:
o Deposit payments and all incoming funds within 3 days of receipt; maintain copies of deposited items
o Follow up on checks that are not honored; maintain a log of collection efforts and a resolution report to Executive Management
o Maintain budgets, reports and correspond with CPA Perform other duties or special projects as may be required from time to time.
