Job Description

  • Coordinate daily calendars of senior managers
  • Plan appointments and events
  • Pick up and sort mail, elevating urgent issues
  • Act as the point of contact between executives and volunteers/clients
  • Create regular reports and update spreadsheets
  • Manage phone calls and emails
  • Respond promptly to managers’ queries
  • Facilitate internal communication (e.g. distribute information and schedule presentations)
  • Suggest more efficient ways to run the office and troubleshoot malfunctions
  • Review and recommend changes to our company policies

Requirements

  • Proven work experience as an Executive Administrative Assistant, Office Manager, or similar role
  • Knowledge of office procedures
  • Solid experience with office management systems and MS Office
  • Experience using office equipment, including printers and fax machines
  • Strong communication skills (via phone, email and in-person)
  • Experience exercising discretion and confidentiality with sensitive company information
  • Excellent organizational skills with an ability to think proactively and prioritize work
  • High school degree; additional qualifications as Personal Assistant or Secretary are a plus

Mission Statement

The Foundation is a non-profit 501(c)(3) corporation with the objective of raising funds through donations, grants and special functions to provide support to members of the Air Force, Air National Guard, Coast Guard Air Station, Army and Army National Guard and their dependents assigned to Joint Base Cape Cod and Coast Guard Southeast Sector in Woods Hole. The Foundation will provide this support through the granting of scholarships, supporting the Chaplain’s fund which helps needy families, supporting the military units’ family days, supporting annual military awards and recognition events, providing backpacks for students, and more.

Description

Cape Cod Military Support Foundation Inc., provides programs and services that support the military service members and families of U.S. Air Force, U.S. Air National Guard, U.S. Coast Guard, U.S. Army and U.S. Army National Guard and their families who are assigned to the Joint Base Cape Cod (JBCC) and US Coast Guard Sector Southeastern New England Woods Hole. There are more than 3,000 Military serving at JBCC sites. During National Guard and Reserves training this number increases by another 3,000-4,000 throughout the year. We provide support not only to these service men and women but to the almost 2,000 military dependents, the majority of whom are children. We also provide support to local veterans in conjunction with other service providers.
