ORGANIZATION: Arizona Foundation for Women

Arizona Foundation for Women is looking for volunteers to help at its annual Awards Luncheon on March 25, 2019 at the Phoenician resort where over 700 people are expected to attend. Funds raised will support programs and services affecting the Safety, Health and Economic Empowerment of women in Arizona.

Positions Include the following:

Event Setup

  • Job duties: Help set up all of the areas at The Phoenician Hotel including raffle/silent auction/mystery box tables; help set up registration area and VIP reception (if reception is before luncheon); place centerpieces on tables; place event program booklets and other publications on every seat in ballroom; place donation envelopes and pens on every table in ballroom; place all AFW collateral and centerpiece information on tables.
  • Number of volunteers needed: 8 - 10
  • Time: 7 a.m. - 9 a.m.
  • Attire: Casual

Directional Guides

  • Job duties: direct people from valet to event entrance; direct people from entrance to registration; direct people to step and repeat; direct people to restrooms and VIP reception; direct people to ballroom once doors open at 11:15 a.m., direct people to tables in the ballroom.
  • Number of volunteers needed: 6
  • Time: 9:00 a.m. - 12:00 p.m.
  • Attire: Business (Red, white or Black if possible)

Photographer Liaisons

  • Job duties: assist photographers with photo shot list at registration, reception and luncheon; write down names of people as pictures are taken.
  • Number of volunteers needed: 4
  • Time: 9:00 a.m. - 1:00 p.m.
  • Attire: Business (Red, white or black if possible)

Step and Repeat Photographers

  • Job duties: take photos of attendees using attendees’ cell phones; encourage attendees to take pictures at the Step and Repeat.
  • Number of volunteers needed: 2
  • Time: 9:00 a.m. - 12:30 p.m.
  • Attire: Business (Red, white or black if possible)

Raffle Table

  • Job duties: oversee the raffle table and answer any patron’s questions; sell raffle tickets using tracking sheets; periodically turn tracking sheets in to registration company; once raffle closes and winners are pulled, place raffle tickets in baggies; inform attendees the winning raffle winners by bringing forms to patron’s tables during the luncheon.
  • Number of volunteers needed: 4 (Note: short training required; these volunteers should be friendly, outgoing and have experience in sales)
  • Time: 9:00 a.m. - 12:30 p.m.
  • Attire: Business (Red, white or black if possible)

Mystery Boxes

  • Job duties: assist patrons in purchasing Mystery Boxes using tracking sheets; periodically turn tracking sheets in to registration company; help breakdown items once mystery boxes sell out; help pass out items to winners.
  • Number of volunteers needed: 10 (short training required; these volunteers should be friendly, outgoing and have experience in sales)
  • Time: 9:00 a.m. - 12:30 p.m.
  • Attire: Business (Red, white or black if possible)

Raffle Ticket Sales

  • Job Duties: work in teams of two to sell raffle tickets to event attendees; record raffle ticket sales using tracking sheets; give buyers promotional item (pearls); continue to sell tickets in ballroom once attendees enter for luncheon.
  • Number of volunteers needed: 20 (short training required; these volunteers should be friendly, outgoing and have experience in sales)
  • Time: 9:00 a.m. - 12:30 p.m.
  • Attire: Business (Red, white or black if possible)

Centerpiece Sales

  • Job Duties: sell centerpieces to event attendees; record sales using tracking sheets
  • Number of volunteers needed: 10 (short training required; these volunteers should be friendly, outgoing and have experience in sales)
  • Time: 11:00 a.m. - 1:00 p.m.
  • Attire: Business (Red, white or black if possible)

Meet-n-Greet Event Check In (If After Luncheon)

  • Job duties: check in VIP Reception attendees
  • Number of volunteers needed: 2
  • Time: 1:00 p.m. - 2:30 p.m.
  • Attire: Business (Red, white or black if possible)

Promotional Item Sales

  • Job Duties: sell promotional event item to event attendees; record sales using tracking sheets
  • Number of volunteers needed: 4 (short training required; these volunteers should be friendly, outgoing and have experience in sales)
  • Time: 1:00 p.m. - 2:30 p.m.
  • Attire: Business (Red, white or black if possible)

Break Down/Clean Up

  • Job duties: Once event ends, help break down and clean up all of the areas at the resort; organize and pack up all event supplies; transport to all cars.
  • Number of volunteers needed: 10
  • Time: 1:30 p.m. - 2:30 p.m.
  • Attire: Casual

For over 20 years, Arizona Foundation for Women (AFW) has been a voice for women's issues including domestic violence, sex trafficking, housing, healthcare and equal pay. Through a holistic strategy of grants, research and advocacy, we leverage our brand, reputation, relationships and collaborative spirit to have a positive impact on the lives of women in Arizona.

Every three to four years AFW presents a detailed research report on the Status of Women in Arizona. Providing great data and a quality, reputable report seeks to drive positive and effective change and create a better life for Arizona's women.

AFW invests in innovative programs and 100% of our grant making to locatl nonprofits support women's causes.
