Thank you for your interest in volunteering with the American Heart Association. We are looking to confirm volunteers for our annual black-tie event. The 2024 Heart Ball will be on Saturday, April 20, 2024.

Below is a general description of the times and duties we will be needing volunteer help for. If you have trouble, you can email me about what you are interested in helping with, and your availability!

More information will follow with regards to parking and other logistics. If you have friends or family that would be interested in volunteering, please invite them to sign up as well! The more, the merrier!

The deadline for volunteer sign up for this event is Thursday, April 1, 2024.

Categories of Volunteer Opportunities:

Event Set-Up: Set up the ballroom, volunteer room, registration, etc. Requires bending, lifting, walking long distances, etc. (10-15 people needed)

Greeters/Table Hosts: Greet and direct guests as they arrive, host tables during event - know your guests, anticipate needs, assist as necessary. This assignment will require being on your feet for 4-5 hours. (20-25 people needed)

Registration/Check-Out: Checking in guests as they arrive and checking out guests who have purchased auction items or would like to donate to the American Heart Association. This assignment will require pre-event training, attention to detail, problem solving skills, and ability to be calm in stressful, fast-paced situations. (8-10 people needed)

Silent Auction:
Setting up the auction area, assisting guests with bidding, fielding questions about items, moving items from auction floor to check-out once auction closes, assisting Check-Out team with retrieving correct auction items for each winning bidder at check-out. This assignment will require being on your feet for 4-5 hours. (5 people needed)

Tear Down:
Tear down registration, volunteer room, and select items in ballroom, pack up in labeled boxes and help transport to moving truck. Casual attire and safe footwear. (10 people)

General Volunteer/Special Assignment:
As we get closer to the event, there will be more 2018 event-specific assignments that need to be filled (such as stage assistant, A/V assistant, runner, etc.). If you are flexible in terms of the area you'd like to volunteer in and are ready to tackle any assignment, please sign up here and you will be designated wherever you are most needed. (5-10 people)

Tentative Day of Event Schedule:

9:00am - 1st Shift: Setup volunteers arrive

10:00am - 1:00pm Set up (moving items, setup, silent auction prep)

4:00pm - 2nd Shift: Event volunteers arrive, 4:15pm venue orientation, go to stations

5:30pm - 10:00pm Event

Other Volunteer Details:

Dress code:

Set-up and clean-up crews are casual/comfortable. Sneakers highly recommended.

Event shift is black-tie/formal attire (dresses or gowns for women, tuxedo or suit for men) - be sure to wear RED if you can! Flats are recommended if your volunteer area requires consistent walking or standing.

Restrictions: Volunteers MAY NOT consume alcohol. Volunteers will be working during the program and not seated at a table. Dinner and snacks will be provided in the volunteer area.

Volunteer Hours: If anyone is participating in this event for credit hours, I am more than happy to sign your forms confirming attendance. Please either bring your sheet to be signed or let me know if you are in need of a letter.

Volunteer Training: Attending the Event Volunteer Orientation is REQUIRED. It will include advance training on the systems you'll be using, day-of-event logistics, etc. Except for Registration and Silent Auction volunteers, the orientation will be about 15 minutes long. Registration and Silent Auction volunteers will need to stay for an additional 30 minutes to learn the check-in and auction systems and practice using them.
