Sixth Annual Around the World with St. Jude | Event Night Volunteers

Join us for the Sixth Annual Around the World with St. Jude Children's Research Hospital, hosted on April 28, 2018 at the beautiful, brand new grounds of the Armature Works Building in Downtown Tampa! Our event guests will enjoy cocktails, dinner, live and silent auctions and be inspired by a St. Jude patient. We will round out the evening with dancing and live entertainment with DeLeon Entertainment!

We are in need of volunteers at our event that can help us create a memorable experience for our attendees. Below are the designated shift times for volunteering on event night and where we need some help. Please make sure you thoroughly read through each shift, time, and responsibilities to see if this is something you are interested in volunteering for. Volunteer Attire: Business
Minimum Age: 21 years or older, due to open bar
*Bilingual is a plus
*Food will be provided for shift 1 and shift 2 volunteers only.

SHIFT 1: REGISTRATION/CHECK OUT | Major Objective:Assist registering/checking in guests at the gala through computer/iPad system, providing a smooth, enjoyable experience from the moment they arrive. Assist with guest check out on computers/iPads for auction winnings.

- Arrival Time: 4:30pm
- Volunteer Training: 4:30pm - 5:30pm
- Volunteering: 6:00pm - 11:30pm

Qualifications: Volunteers should be comfortable speaking/interacting with guests and donors. Volunteers should be comfortable accepting forms of payment and counting money (if needed), and comfortable using technology (ie: computers/iPads)

Responsibilities:

  1. Understand how to use new technology system (computers/iPads).
  2. Be courteous and friendly to all guests.
  3. Become familiar with the basic logistics of the event (i.e., be able to direct guests to restrooms, table assignments, ballroom, etc.).
  4. Become familiar with the basic schedule of the event.
  5. Become familiar with the registration process.
  6. Closely monitor all donor information and forms of payment (i.e., checks, cash and credit card information).
  7. Volunteers may be asked to help with other duties as needed.

SHIFT 2: SILENT AUCTION | Major Objective: Volunteers will be assisting bidders in the silent auction as needed; assist in helping guests bid through our iPad/technology system and on their smart phones.

- Arrival Time: 4:30pm
- Volunteer Training: 4:30pm - 5:00pm
- Volunteering: 6:00pm - 11:30pm

Qualifications: Volunteers should be comfortable interacting/speaking with guests and donors. Volunteers should be familiar with the auction process and be able to answer questions as needed, and comfortable using technology (ie: tablets/iPads).

Responsibilities:

  1. Understand how to use new technology system (tablets/iPads) and assist guests with bidding in the silent auction.
  2. Be courteous and friendly to all guests.
  3. Become familiar with the basic schedule of the event.
  4. Become familiar with the auction process.
  5. During the check-out process, help collect and organize sold items.
  6. Help pack and organize unsold items.
  7. Volunteers may be asked to help with other duties as needed.
  8. Feel comfortable with engaging guests to bid.


SHIFT 3: ST. JUDE PROGRAM | Major Objective:
Volunteers will help assist during St. Jude program (Live Auction/Give to Live), to identify bidders to the auctioneer.

- Arrival Time: 5:30pm
- Volunteering: 6:00pm - 8:30pm

Qualifications: Volunteers should be comfortable interacting with guests and donors. Volunteers should be comfortable with helping identify bidders during the Live Auction/Give to Live portion of the St. Jude program as spotters for our auctioneer.

Responsibilities:

  1. Volunteers will be spotters for our auctioneer, to identify the bidders during our live auction and Give to Live. Help with excitement and enthusiasm to encourage more bidding.
  2. Volunteers will approach the bidder/ winners and hand out a thank you for their donation.


SHIFT 4: ST. JUDE GREETERS | Major Objective:
Volunteers will be greeting all guests when they arrive, assisting media outlets to red carpet for photo coverage; direct traffic so guests know where to go, etc.

- Arrival Time: 5:30pm
- Volunteering: 6:00pm - 8:00pm

Qualifications: Volunteers should be comfortable interacting/speaking with guests and donors.


SHIFT 5: CLEAN UP | Major Objective: Volunteers will be assisting St. Jude staff with clean up after the event; breakdown of check out stations; silent auction area; organizing and packing staff cars.

- Arrival Time: 10:45pm
- Volunteering: 11:00pm - 12:30am

Qualifications: Volunteers should be comfortable with lifting boxes to help in clean up (up to 20 lbs)
