About

We're looking for another enthusiastic TEDxster to join our dynamic leadership team as an Event Manager.

Reporting to the Executive Producer, this individual will plan logistics and operations for TEDxTysons 2018 and provide backup support for other activities related to the event to be held in May 2018.

Primary Duties

  • Serve as event manager, managing logistical and operational activities to ensure efficient event planning and execution
  • Researches and sources venues for meetings, dinners and special events.
  • Assists in creating RFPs; tracks and compiles responses for further review
  • Creates and updates event specifications to include room sets, Food and Beverage, A/V, and other event logistics
  • Works on floor plans and room diagramming
  • Maintain and update budget as it relates to operational expenses
  • Maintains constant communication with audio/visual and speaker teams to establish event schedule and overall flow
  • Works with Volunteer Manager to review volunteer needs, roles and schedule
  • Oversee production of onsite materials, inclusive of creating copy and reviewing proofs
  • Maintains communication with vendors, suppliers and venue.
  • Provides on-site support to staff, vendors and suppliers for all event elements
  • Reconciles and processes event invoices

Preferred Background, Skills, and Abilities

  • Bachelor’s Degree
  • A minimum of 3 years meeting planning experience in a meetings/events environment, preferably for a nonprofit organization
  • Strong attention to detail and outstanding organizational skills
  • Ability to manage multiple priorities and adapt quickly to changing priorities
  • Excellent verbal and written communication skills
  • Ability to work creatively as part of a team
  • Proficiency with Google drive applications and database manipulation
  • Ability to lift up to 25 pounds
  • Evening and weekend work required occasionally
