ORGANIZATION: INFINITY FOUNDATION

Volunteer Bookkeeper: Maintains and records business transactions. Balances ledgers, reconciles accounts, and prepares reports. Position follows bookkeeping procedures established by the organization. Familiar with standard concepts, practices, and procedures within a particular field. Relies on experience and judgment to plan and accomplish goals. Performs a variety of tasks. Works under general supervision. A certain degree of creativity and latitude is required. Typically reports to a manager or head of a unit/department.


Specific Tasks

  • AP - 941 form (quarterly) - complete the process of writing checks using the Quickbooks write checks' module for the completion of the 941 form and federal tax payment due quarterly by the end of the month following the close of the quarter.

  • AP - Write Checks - complete the process of writing checks using the Quickbooks 'write checks' module for Infinity Foundation's payables accounts to vendors and reimbursements.

  • AR - Bank Reconciliations - complete the monthly process of reconciling the bank's cash records balance with the balance recorded to cash in the books.

  • AR - Book Sale Records - complete the process of preparing checks and cash received for deposit. Petty Cash for book sales in stored in bank envelope and kept on hand at the HQ Office.

  • AR - Cash & Check Deposits - record by category all deposits to the bank from cash, checks, and credits received to QuickBooks in order to complete the process of preparing checks and cash received for deposit.

  • AR - Reggie Scholarship Fund - this account has deposits and withdrawals which are tracked throughout the year and reconciled on an annual basis.

  • Pitney-Bowes Meter - complete the process of preparing mail items for outgoing postage as needed.

  • Records - The Gala - create, maintain, and reconcile records and bookkeeping related to the annual Gala event (including Financial Report)

  • AD HOC - as needed, per Executive Director

Qualifications - Education and Experience

  • high school diploma or equivalent, some college preferred

  • 2-4 years of experience in the field or in a related area

  • attention to detail and accuracy

  • communication skills - verbal and written

  • computer Skills: MS Office and Quickbooks

  • confidentiality

  • data management skills and confidentiality

  • knowledge of administrative procedures

  • knowledge of office management systems and procedures

  • knowledge of relevant software applications including MS Office

  • math: adding, subtracting, and basic arithmetic is crucial

  • organization and planning skills

  • problem-solving and adaptability

  • proficient in use of email and internet

  • team work and customer service orientation

  • time management skills and the ability to prioritize work
