Event Volunteer - LLS Grand Finale Gala

The Leukemia & Lymphoma Society Greater Sacramento Area Chapter is seeking several volunteers for their annual black tie event, Man & Woman of the Year Grand Finale Gala, on Saturday, June 17 at the Hyatt Regency in Sacramento. Please review and complete the following form if you are interested in volunteering - https://www.llsform.org/0530FS01/form11/index.html. Anyone can volunteer, but formal wear attire (black tie optional) and professional mindset and attitude are required.
Set Up Crew (9:30 a.m. - 3:00 pm) - 10 positions
Provide assistance in one or more of the following areas:
Auction
- Arrange and set up items based upon category listed on auction sheet
- Make items "presentatable" and attractive for sale
- Assist florist, if necessary, with set up of floral centerpieces on tables
- Set up easels with Candidate photos/bios, Boy & Girl of the Year photos/bios and signage
- Prepare check-in table; distribute supplies (programs, pens, etc.)
- Assist with setting up red carpet area
- Place logo cards and pens on each table
- Place thank you cards and gifts on every chair
- Assist florist, if necessary, with set up of floral centerpieces on tables
- Any other set up as needed or assistance requested by LLS staff
Check In/Registration Volunteer (3:30 - 7:30 p.m.) - 8 positions
ALL VOLUNTEERS ARE REQUIRED TO GO THROUGH GIVESMART* TRAINING
Registration Leads
- Find guests using iPad - make sure all information is correct, assign bidder number, give correct program/bid number
- Offer to swipe credit card for express check-out
- Write name, table number and bidder number on card
- Get program/bid number(s) for Registration Lead
Silent Auction Assistant (3:30 - 7:30 p.m.) - 8 positions
ALL VOLUNTEERS ARE REQUIRED TO GO THROUGH GIVESMART* TRAINING
Before Auction
- Check-in with GiveSmart representative to retrieve materials
- Refresher training with Event Specialist
- Help guests bid on their phone or through an iPad
- Talk up silent auction items to encourage bids
- Answer any questions regarding silent auction items
- Help photographer have groups ready so they can quickly move through red carpet area
- Take pictures on any personal cell phones for guests
- Answer guest questions or direct to LLS staff
- Help assist with check out set up - organize auction items by last name, group together all items for each person and attach receipt
- Get batch of receipts for silent/live auction winners from registration
- Get winner's name and table number from registrarion and write on a receipt
- When auctioneer announces winner of LIVE auction item, go to that bidder
- Confirm payment using an iPad
- Assist with Fund The Fight - for each amount called, write down each and every bid number you hear called under that amount. Have bidders initial amounts to acknowledge amount agreed to donate. Run amounts to accounting after Fund The Fight ends.
Clean Up Crew (9 p.m. - 12 midnight) - 10 positions
- Help put remaining items back into money room at close of check out
- Help collect and put away any additional items
- Any other clean up as needed or assistance requested by LLS staff

In 2017, LLS volunteers made a significant impact while selflessly dedicating their time and talent to achieve our mission. With countless ways to engage, from fundraising to providing patient support, our volunteers are changing the landscape of cancer.
The Leukemia & Lymphoma Society's Greater Sacramento Area Chapter serve residents who have been touched by one of the blood cancers: leukemia, lymphoma and myeloma.
