ORGANIZATION: Center for Information and Study on Clinical Research Participation (CISCRP)

On Friday, May 12th, 2017 in Houston, local community members, patients, and research professionals will come together to learn about clinical research, get free health screenings, and hear from physician and patient speakers. AWARE for All is a free educational program that provides valuable information and resources on the clinical research process to help people make informed decisions about participation. The event serves as a platform for dialogue between local patients, members of the public, and research professionals. This program is made possible by the incredible community partners we collaborate with in every city.

Below is a listing of key volunteer opportunities:

Registration Desk

-Welcome Speakers, Volunteers, Exhibitors and Community Partners
-Check-in/register attendees (check-in on registration list with highlighter, register with small printed forms)
-Direct attendee traffic to the appropriate meeting rooms throughout the day


Health Screenings
-Manage the flow of traffic through the health screenings
-Assist with sign in sheets if necessary


Directional Assistance
-At key points throughout the program venue, direct attendee traffic to the appropriate places
-Hang up signage where appropriate
-Assist attendees in need from parking lot (if necessary)
-Guide attendees between rooms


Exhibitor Move-In (10am - 11am)
-Help exhibitors move in their boxes and items to their designated tables (each table will have a certificate with the exhibiting organization’s name)
-Provide directions to exhibitors about parking and set up
-If needed - help to run a booth and hand out information materials (specifically if an exhibitor cannot attend in person but would like to provide educational materials for attendees to take with them)


Program Monitor
-Attend educational presentation
-Get Headcounts throughout the event, record, and report to Ellyn
-Collect pre-presentation survey before opening presentation "What Clinical Research Means to You" during welcoming remarks
-Distribute and collect post-presentation after "What Clinical Research Means to You"
-Help minimize the sound of the presentation hall doors if they’re opening and closing as attendees arrive once the presentation has begun
-Hand out survey answers while collecting survey #2
-Separate surveys into piles (separate Health Professionals & Event Team Members from Public/Patients)


Exhibitor Captain
-Receive list of all exhibitors
-Place exhibitor certificates on the table-tops to show exhibitors where to set-up
-Check-in exhibitors as they arrive
-Provide updated check-in list to AWARE Project Manager (Ellyn) at the end of the event

Set-Up Assistance/Floaters
-Help set-up the registration booth, table-cloths on exhibitor booths, podium decoration
-Bring The Gift of Participation books and Medical Hero certificates to the front of the stage
-Set-up complimentary food and refreshments
-Assist with clean-up
-Assist photographer in getting pictures of the planning team, speakers, general attendee audience during presentation (with CISCRP direction)


Cyber Café
-Use CISCRP laptop
- Help attendees fill out the online www.searchclinicaltrials.org form to inquire about local clinical trials

Description

The Center for Information and Study on Clinical Research Participation (CISCRP) was founded in 2003, and is a non-profit organization dedicated to engaging the public and patients as partners in the clinical research process. As part of its mission, CISCRP provides a variety of award-winning resources, programs and services that are designed to assist clinical research stakeholders in understanding public and patient attitudes and experiences in research as well as improving volunteer participation experiences and satisfaction.
