Help The Shade Project fight back against skin cancer by volunteering at our premier fundraising event, Down and Derby, at Ranch Austin on Saturday, May 6.

Funds raised at Down and Derby help fund The Shade Project’s mission of preventing skin cancer and skin cancer-related deaths through sun safety education, promotion of skin cancer screenings and implementation of SHADE in public spaces.

CHECK-IN TABLE

  • Volunteers: 4 (2 for individual check-in table / 2 for sponsor/VIP check-in table)
  • Time: Saturday, May 6, 3:30-7 p.m.
  • Responsibilities: Check paid ticket guests’ names off on guest list upon arrival; swipe credit cards/accept cash for walk-in guest ticket purchases; provide all guests with a numbered event wristband and event program; provide sponsors, survivors and caregivers with special pin to wear.

WELCOME TEAM

  • Volunteers: 6 (will be stationed inside the front door of Ranch Austin)
  • Time: Saturday, May 6, 3:30-7 p.m.
  • Responsibilities: Welcome guests to Down & Derby after they get through the check-in tables and walk inside the venue; point out the food tables and raffle tables inside and let guests know the band, games and other activities are outside; may occasionally need to walk guests to specific areas within the event upon request. Thank guests for attending & give them a thank you gift upon exiting.

RAFFLE TABLE

  • Volunteers: 2
  • Time: Saturday, May 6, 3:30-7 p.m.
  • Responsibilities: Swipe credit cards and/or accept cash when guests purchase raffle tickets; instruct guests to fill out their raffle tickets and drop them in the jar next to the prize package(s) they want to win; check winners’ tickets after winners are drawn and give them their prizes.

THE SHADE PROJECT TABLE

  • Volunteers: 2
  • Time: Saturday, May 6, 3:30-7 p.m.
  • Responsibilities: Educate guests about The Shade Project; swipe credit cards and/or accept cash donations in honor of someone or make a monetary pledge to SHADE; help guests fill out their pledge/donation card and hang it on the Pledge/Donation Wall.

WINE POOL TABLE

  • Volunteers: 2
  • Time: Saturday, May 6, 3:30-7 p.m. (or until wine bottles are gone)
  • Responsibilities: Swipe credit cards and/or accept cash from guests; wine bottles will be numbered 1-100; help guests draw a number, find the corresponding wine bottle, remove the tag and hand to guest.

HORSE BETTING TABLE

  • Volunteers: 2
  • Time: Saturday, May 6, 3:30-5:15 p.m.
  • Responsibilities: Swipe credit cards and/or accept cash from guests for raffle tickets; explain to guests how to drop their raffle ticket(s) into the bucket(s) of the horse(s) they think will win; explain that after the race, a winner will be drawn from the winning horse’s bucket of raffle tickets.

EVENT TEARDOWN

  • Volunteers: 10
  • Time: Saturday, May 6, 6:30-8:30 p.m.
  • Responsibilities: Breaking down tables, chairs and other event supplies; loading items from venue into cars; collecting trash bags and placing in the dumpster.

Mission Statement

The Shade Project is a nonprofit organization dedicated to the prevention of skin cancer and skin cancer-related deaths through sun safety education, promotion of skin cancer screenings and the implementation of SHADE in public spaces.

Description

The Shade Project began as a grassroots initiative of Tru-Skin Dermatology to educate the public about sun safety awareness. Christi Hester of Hester Media, working with Dr. and Mrs. Ladd, provided the strategic guidance and personal commitment needed to get The Shade Project started.

After a very positive reception from the Central Texas community, the Ladds were ready to make a long-term commitment to raising funds for shade structures and continuing skin cancer prevention efforts, and in working with local nonprofit experts, The Shade Project became a recognized 501c(3).

Since its inception, The Shade Project has evolved from a local effort to an established organization committed to skin cancer prevention in Texas and beyond.
