Volunteer Role Description

Role Title: ADMINISTRATION VOLUNTEER

We wish to assure you of our appreciation of your interest to volunteer with us.

Seashells and Pearls, Inc.’s mission is "The purpose of this organization is to help disadvantaged women and their families pursue their education, career or personal goals, and milestone events with financial and clothing support by partnering with local agencies, churches, and other community support and mentoring networks that uphold family values giving them the tools necessary to succeed".

We are looking for a good administration volunteer who can assist us with various administration and office duties such as composing and sending out letters/emails, inputting basic data and answering the phone etc. The role is in a busy department with a nice team.

Objective:

To carry out administration support and relative tasks as required

Accountable to:

Nominated Supervisor in the relevant Department

However, the Volunteer Development Co-ordinator, has overall responsibility for the allocation of volunteers within Seashells and Pearls, Inc., and for working with you to ensure that your experience is a positive and rewarding one.

The role involves some or all of the following:

  • Varied administration
  • Liaising with internal colleagues and/or external organisations. This may include answering the telephone, email enquiries and general correspondence
  • Updating a database
  • Word processing, using basic excel spreadsheets and preparing various documentation
  • Photocopying
  • Record keeping (manually and electronically)

The skills required for this role are:

  • A methodical and orderly approach
  • Able to demonstrate accuracy and attention to detail
  • Good experience of using a computer and knowledge of Microsoft applications (including Microsoft outlook, word and basic excel)
  • Good communication skills - both written and verbal
  • Ability to prioritise work and good organisation skills
  • Reliability
  • Ability to be part of a team
  • Understanding the need for confidentiality
  • Sense of humour
  • Willingness to undertake relevant training, work to guidelines and policies on Health and Safety, Confidentiality and Equal Opportunities etc

Duration

1-2 days per week for 3 months.

As a volunteer you can choose to stop volunteering at any time. However, to make this a positive experience for both you and Age Concern and Help the Aged we hope that you are able to volunteer for the agreed period.

Description

This organization was named Seashells and Pearls, and founded on the premise that real seashells and pearls come from different countries, beaches, and areas of the world. They are all very beautiful and truly unique. The pearls are extremely precious and worn as adornment and a sign of achievement in many cultures. I intend to take these values and instill them in others to help them not only succeed in their life endeavors, but also feel beautiful about themselves and their accomplishments. Pearls are essentially the experiences and words of wisdom from mentors helping others, while the Seashells represent the action steps necessary to reach and maintain continued success. I intend help other women as I have myself been helped along the way for which I am truly grateful. People often ask me how I feel about my struggles going back to school at this stage of my life. I tell them that it seemed at first like an impossible endeavor with many obstacles including the lack of finances, and family commitments. However, I overcame these difficulties by surrounding myself with a stable network of support systems that help me to learn, grow, and become stronger by participating, and giving of myself to help others through committed, involved interaction with other community members. "We are all just mermaids on the beach collecting the seashells and pearls with which to fill our treasure chests."
