Call for ACT-W Conference Planning Committee Members
Become a Planning Committee Member
ACT-W conferences run on the energy of our volunteers who care about empowering women in technology. The ACT-W Seattle Conference is an annual one-day action-packed event where talented women can build skills, grow their community, and accelerate their career path by connecting with companies that truly fit them best. The conference includes speaking sessions, hands-on workshops, one-on-one coaching sessions, and more.
As a committee member, you’ll be a vital part of the conference and help to create a welcoming and outstanding conference experience for about 300 - 400 participants from the Seattle. The planning experience is a unique opportunity to participate in the conference activities. ACT-W Seattle Planning Committee Members will be responsible for various conference duties such as sponsorship outreach, conference and speaker schedule development, event management, food and beverage planning, on-site logistics, and more.
What is expected of me?
As a Planning Committee Member, you’ll be expected to be available for the entire conference planning up until the conference on September 22nd - 23rd, 2017.
Who can volunteer?
Anyone 18 and over
Open Planning Committee Positions
(Examples below, but please note that positions may fluctuate and/or overlap due to event needs)
Workshop & Speaker Event Manager
Finds industry leaders in Tech-related workspace to volunteer time / expertise to teach during ACT-W Event
Workshop leaders must have prior experience teach classes / workshops
Workshop leaders must be approved by Leadership team (Jenny)
Works with other Workshop team members to make sure we have a variety of workshops set up
Makes sure workshop leaders are committed (signed contracts) and have materials needed to run workshop / know their audience
Helps workshop leaders get set up on the day of the event
Liaison between workshop leader / ChickTech
Catering Event Manager
Finds vendors to sponsor ChickTech for ACT-W Event
Needed: Breakfast foods / drinks, Snacks, Lunch food / drinks, evening happy hour drinks / cocktails)
Budget: $XX (TBD)
Owner of Everything: From logistics, to set up/ take down. Makes sure vendor has everything they need. Make sure tables are there for set up/take down. Make sure Ice, cups, utensils, napkins, trash bags, etc. are provided for smooth event
Works with Jenny to oversee venue set up
Sponsorship Conference Manager
Helps team find Sponsorships / Partners (Company Sponsors, Food Sponsors, materials, SWAG, etc.)
Helps on the day of the event with Sponsors set up / Makes sure they have everything they need / know where to go
Defines level of sponsorship for each sponsor / what they are given / what they give us
Clearly communicates role of ACT-W / makes sure Company sponsor is looking to hire or at least share best practices / workshops
Works with Catering team or Marketing team to sync on sponsorships
Goal is to find 20 Sponsors
Event Volunteer Manager
Gathers team of volunteers to manage on the day of the event
Managers team on the day of ACT-W Event
Has list of who they will be in charge of managing on the day of the event
Works closely with other Event Volunteer Manager
- Creates Seattle Shirts for entire ACT-W Team
Social Media and Marketing Manager
Help with promoting the event via: Facebook, blogs, instagram, outreach to organizations / other nonprofits, colleges, companies.
Create list of groups to target; should provide value props and discounts for some cohorts
Help Manage all content of ChickTech Social Media Pages
Work on Facebook Page for ACT-W Event (get XX amount of followers)

ChickTech is dedicated to retaining women and non-binary people in the technology workforce and increasing the number of people of marginalized genders pursuing technology-based careers.
Description
ChickTech is a multi-generational community helping each other become technology creators. We facilitate hands-on technology-centric events and mentorship to empower, support, and increase the confidence of girls, women, and non-binary folks. Through our programs, we build community, empower participants to see themselves as leaders, and provide networking and mentoring opportunities in the rapidly growing tech industry.
As a mostly volunteer-run non-profit, we are always searching for partners who would like to get involved through donations of expertise, volunteer time, in-kind, funding, or just by helping to get the word out.
